This is a high-ownership, accounting-focused role ideal for someone who thrives in a fast-paced, growth-stage environment and brings a strong foundation in AR, AP and financial documentation. You’ll work cross-functionally with sales, procurement, and HR to support invoicing, vendor management, and onboarding/offboarding. Depending on your experience, payroll processing (including commission calculations) could be part of the role, or coordinated through an external resource. You’ll be expected to learn quickly, work independently, and contribute to maintaining accurate records and financial workflows. Key Responsibilities Accounting & Financial Operations Coordinate directly with our outsourced accounting partner to support day-to-day financial processes and information flow Lead the accounts receivable process: issue invoices, maintain accurate aging reports, follow up with clients on overdue balances, and escalate collection risks when necessary Assist with accounts payable: process vendor invoices, confirm approvals and coding, reconcile discrepancies, and prepare payment details for the accounting team Manage bi-weekly payroll through Paylocity or coordinate via external provider: Process timecards and compensation updates Track and apply changes for new hires, terminations, and bonuses Calculate commissions for employees, consultants, and distributors based on structured plans and sales data, ensuring accuracy and documentation Coordinate with the sales and finance teams to validate figures before final payroll submission Maintain up-to-date internal records related to payroll, vendor contracts, client billings, and cash transactions Track and report on weekly cash flow, flagging anomalies and providing support for treasury and planning functions Support month-end and year-end close processes: prepare reconciliations, gather documentation, and ensure internal deadlines are met Assist in coordinating sales tax tracking and filings, and maintain audit-ready financial documentation Vendor & Client Coordination Set up new vendors in our systems, maintain accurate records, and handle invoice-related communication Collaborate with procurement to ensure PO matching, receipt tracking, and approval routing is properly documented Work closely with sales to reconcile client billing questions and assist in resolving overdue accounts Office & HR Administration Coordinate basic HR support tasks: onboarding/offboarding checklists, payroll and benefits updates, and employee file maintenance Act as a point of contact for employee inquiries regarding payroll, time tracking, or benefits administration (in partnership with our external broker) Ensure internal documentation is well-organized and securely stored in SharePoint Provide general administrative support as needed to ensure smooth office operations Systems You’ll Work In
- ERP for invoice management, vendor records, purchase orders, and reporting
- Payroll and HRIS system used for bi-weekly payroll, time tracking, and employee records
- Especially Excel (for reconciliations and commission tracking), Outlook, and Word
- Used for internal document management and records storage Experience with these tools is preferred, but we value a willingness to learn and comfort working across systems.
Qualifications 2-5 years of relevant experience in accounting, finance operations, and payroll support Strong understanding of core accounting functions: AR, AP, payroll (including variable compensation), reconciliations, and documentation Experience calculating and verifying commissions or variable pay structures is a strong asset Familiarity with payroll systems (Paylocity preferred) and ERP platforms like NetSuite is strong asset but not required Strong Excel skills and attention to detail Comfortable working independently in a fast-moving environment with evolving processes Effective communicator, able to collaborate across teams and with external vendors
