GENERAL SUMMARY

The Operations Manager is a vital member of our team, responsible for ensuring the smooth and efficient operation of our internal systems. This role supports the Chief Executive Officer and program staff and Roundtable Networks and Initiatives through administrative coordination, board support, HR and compliance management, grant reporting assistance, and logistical oversight for events and meetings.

Programmatic Functions:

Administrative & Office Operations 1. Oversee day-to-day office management and organizational systems. 2. Maintain personnel files, manage timesheets, and ensure compliance with HR protocols. 3. Coordinate supplies, vendor relationships, contracts, and general office needs. 4. Schedule and support internal staff meetings, board meetings, and retreats. 5. Provide IT support, technical assistance, and training when applicable to staff on various applications, software, or computer issues. 6. Research and prepare all staff travel expenditures/itineraries. Including items such as, hotel, airfare, per diem, rental cars, and registration purchases. 7. Assist CEO and Project Coordinators in preparing and proofreading all communications and materials for external distribution for quality assurance, 8. Updates and manages Roundtable social media and Website, including maintenance of passwords, and user access/role assignments as directed by the CEO. 9. Facilitate the collection and analysis of data to compare local, state, and national trends in order to compare progress being made by the initiatives, grants, and contracts. 10. Research, revise, and assist with writing community assessments, strategic plans, and various agency and initiative reports and assessments. Board of Directors Support 1.

Coordinate board and committee meetings:

schedule, prepare materials, send reminders. 2. Attend board meetings and take, draft, and distribute accurate meeting minutes. 3. Serve as a liaison between staff leadership and board members for communication and follow-up. Human Resources Support 1. Coordinate onboarding and offboarding processes for staff and volunteers. 2. Ensure compliance with organizational policies and labor regulations. 3. Maintain confidential records and assist with staff training documentation. 4. Maintain personnel job descriptions, employee handbooks/manuals, and employment policies. Financial & Grant Support 1. Support financial tracking, expense reports, and invoicing processes. 2. Assist with grant reporting, including collecting and organizing data and supporting documentation. 3. Work closely with the Finance Manager to ensure accurate reconciliation. Program and Event Support 1. Coordinate logistics for community events, trainings, and program activities. 2. Maintain event checklists, vendor communication, and onsite coordination. 3. Support outcome tracking and data collection efforts for program evaluation. Communications & Outreach 1. Maintain organizational newsletters and internal communication tools. 2. Represent the organization at selected community events and meetings. 3. Prepare newsletters, flyers, infographics, social media graphics, and other documents for distribution. 4. Update social media and digital presence in collaboration with program teams. Systems & Compliance 1. Manage organizational calendars, cloud storage, and shared drives. 2. Ensure organizational compliance with insurance, licensing, and nonprofit governance requirements. 3. Support quality assurance and process improvement efforts Knowledge, Abilities, Skills 1. Ability to express ideas effectively verbally and in writing. 2. Ability to determine work priorities and ensure proper completion of work assignments. 3. Experience with light bookkeeping functions 4. Ability to use technology effectively to manage Roundtable business (meeting invites, virtual meetings, Roundtable calendar, etc.) Ability to effectively present information, ideas, and opinions to management. 5. Knowledge of administrative and business practices with the ability to work under minimal supervision. 6. Knowledge of and competency in Microsoft Office Suite including Word, Excel, Outlook, PowerPoint and Canva 7. Extensive computer literacy including the knowledge of or willingness to learn and the ability to produce a variety of computer documentation. 8. Good interpersonal skills; effective oral and written communication skills. 9. Excellent multi-tasking ability; attention to detail; able to take initiative. Transportation Requirements This position requires occasional travel to and from a variety of business meetings in the community and possibly beyond the immediate community. While mileage reimbursement will be provided for business travel, the provision of transportation is the responsibility of the employee. Any employee without personal transportation must secure reliable public or other transportation as needed for required travel. Travel by personal vehicle of the employee will further require adherence to the CSC Safe Driving Policy including a Driver’s License Record check and proof of insurance.

Educational Requirements:

Bachelor’s degree in business administration, management, human services, communications or 4 years or more equivalent work experience.
