The Operations Manager is a key leadership role at ACA responsible for overseeing daily operations, facilities management, financial systems, vendor coordination, and the execution of major events, including

This role manages tools like QuickBooks and Bill.com , ensures compliance with nonprofit and safety standards, and leads ACA’s strategy deployment process —aligning organizational goals with measurable outcomes. The ideal candidate brings strong project management skills, financial and technical fluency, and a hands-on approach to operational excellence in a mission-driven environment.
Key Responsibilities:
Organizational Strategy & Alignment Coordinate ACA’s strategy deployment process , including documenting goals, defining key metrics, and facilitating cross-functional performance reviews. Support executive leadership in aligning daily operations with long-term strategic objectives. Collaborate on the creation and ongoing refinement of ACA’s Business Playbook and Employee Handbook to ensure clarity and consistency in internal policies and procedures. Financial Operations & Systems Lead the annual budgeting process and facilitate monthly budget review meetings with department leads. Track and report on budget vs. actuals across departments and recommend corrective actions as needed. Serve as administrator of QuickBooks and Bill.com , ensuring timely and accurate financial tracking, invoice processing, and approvals. Ensure compliance with nonprofit accounting standards in collaboration with external financial service providers. Facilities & Vendor Management Oversee maintenance, repairs, and overall readiness of ACA’s facilities, including studios, performance spaces, and housing. Ensure compliance with building codes, safety standards, and capital planning requirements. Manage external vendors and contractors across facilities, accounting, IT, HR, and security functions. Maintain and update ACA’s facilities reserve plan in coordination with budgeting cycles. Event Operations Serve as the operational lead for ACA’s major events , including IMAGES and Horsin’ Around . Develop project plans, manage logistics, coordinate vendors, and oversee budgets to ensure events are delivered on time, within budget, and at the highest quality. Collaborate with marketing and development teams to align event logistics with programmatic and fundraising goals. Conduct post-event evaluations to identify improvements and document lessons learned. IT & Systems Oversight Administer ACA’s core IT tools, including system access, basic troubleshooting, vendor coordination, and staff support. Lead adoption of new operational platforms or upgrades to existing systems that support collaboration and efficiency. Compliance & Risk Management Maintain ACA’s Disaster Management Plan and ensure all staff are trained on emergency protocols. Monitor compliance with local, state, and federal regulations relevant to nonprofit operations and facilities.
Qualifications:
Required:
Bachelor’s degree in Business, Operations, Event Management, or a related field (or equivalent experience) Minimum of 5 years of professional experience in operations, facilities, or event management, preferably in a nonprofit or mission-driven environment Strong project management skills with demonstrated ability to lead cross-functional initiatives Proficiency in QuickBooks and Bill.com , including invoice workflows and financial reporting Experience managing external vendors and service providers Excellent organizational, problem-solving, and communication skills Proficiency with digital tools and IT systems used in daily operations (e.g., Microsoft 365, Google Workspace, project management software)
Preferred:
Familiarity with nonprofit financial practices and compliance requirements Experience managing large-scale public events and multi-vendor coordination Working knowledge of building codes, safety standards, and capital project planning Comfortable in both hands-on and strategic planning roles
Key Performance Metrics:
Timely facilitation of cross-functional strategy reviews and progress reporting Accurate and timely monthly budget vs. actual reporting Effective use and administration of QuickBooks , Bill.com , and other operational tools On-time, within-budget delivery of IMAGES and Horsin’ Around Maintenance and regular updates of ACA’s facilities reserve plan Full compliance with documented safety, disaster preparedness, and facility standards Documented improvements in operational efficiency and alignment with strategic goals What You’ll Do Oversee daily campus operations, facilities, and compliance Manage budgets, track financial performance, and coordinate vendor contracts Lead operational planning and execution for IMAGES and Horsin’ Around Administer internal systems including QuickBooks , Bill.com , and core IT tools Support cross-functional strategy reviews and performance tracking Maintain ACA’s Disaster Management Plan and ensure safety protocols What You Bring • Proficiency with QuickBooks and Bill.com or similar systems Strong project management, budgeting, and vendor coordination skills Clear communication and problem-solving abilities Passion for efficient systems and mission-driven work Bachelor’s degree in Business, Operations, or related field preferred Experience in nonprofits or arts organizations is a plus.
