OUR MISSION

We’re a top-producing, high-energy real estate team powered by grit, systems, and results. In just 3 years, we’ve sold over 300 homes and currently manage over 65 listings. Our team specializes in expired and canceled listings—turning “unsellable” into SOLD. Now, we’re scaling fast and building one of the top teams in the nation. We’re looking for a Director of Operations (DOO) to bring structure to our chaos, nurture our client base, manage our team, and help us grow a true empire.

YOUR ROLE

As the DOO, you’ll be the integrator of our business—translating vision into action. You’ll oversee our systems, people, and processes while building out the client experience and team infrastructure needed to scale. You’ll take the day-to-day off our plates so we can stay focused on listings, growth, and leadership.

RESPONSIBILITIES

Operational Systems & Infrastructure

  • Audit, document, and improve all core workflows (listing intake, transaction management, lead flow)
  • Build and maintain SOPs for repeatable tasks across the business
  • Implement project and task management tools (e.g., Asana, ClickUp)
  • Oversee CRM (Follow Up Boss, Brivity, etc.) optimization and automation Client Nurture & Database Management
  • Build and execute nurture campaigns for past clients, current clients, and sphere
  • Plan and manage client appreciation events, pop-by campaigns, and mailers
  • Ensure follow-up systems are working to generate referrals and repeat business
  • Track and improve client satisfaction and reviews Team Leadership & Accountability
  • Lead daily huddles, weekly check-ins, and team meetings
  • Manage 5 agents and 3 virtual assistants (performance, efficiency, culture)
  • Own hiring, onboarding, and training processes for support staff and agents
  • Drive accountability on key KPIs (appointments, contracts, closings) Business & Listing Performance
  • Track and report on listings, closings, days on market, and conversion rates
  • Oversee listing preparation process (photos, marketing, compliance)
  • Ensure deadlines and tasks are being hit with minimal oversight
  • Optimize vendor relationships and expenses for profitability Vision Execution & Strategic Growth
  • Work closely with partners to define and implement quarterly/annual goals
  • Identify areas for growth (referral business, recruiting, marketing)
  • Develop financial tracking and basic budgeting systems
  • Anticipate team needs before they arise—be proactive, not reactive
REQUIREMENTS
  • 2-5+ years of operations, project management, or team leadership experience (real estate preferred but not required)
  • Proven ability to implement systems and manage people
  • Highly organized, self-motivated, and excellent at follow-through
  • Strong communication and leadership skills
  • Tech-savvy and familiar with CRMs, automation tools, Google Workspace, etc.
  • Excited by fast growth, high expectations, and a performance-driven environment
