Position Overview:
The Assimilation Coordinator is responsible for managing and optimizing the systems that help guests and new members become fully engaged in the life of Change Church. This includes tracking guest data, coordinating next steps, managing communication touch points, and supporting onboarding initiatives like Change Track and New Members’ Classes. This role partners closely with the Guest Experience Coordinator and the Next Steps Pastor to ensure guests move from first-time visit to connected membership through a thoughtful and streamlined process.

Essential Functions and Responsibilities:
Serve in excellence by being early and prepared for all scheduled meetings. Establish and foster an exemplary relationship with staff/non-staff workers, church membership, and the community at large. Demonstrate a servant’s heart by having a willingness to perform other duties as needs may arise. Other related duties as assigned. Assimilation Leadership & Strategy Provide centralized coordination and strategic oversight for assimilation processes across all Change Church locations. Implement and maintain scalable systems that guide guests from initial visit to active participation in Change Track, Dream Team, and Change Groups. Collaborate with department leaders to align assimilation strategy with overall church vision and spiritual growth pathways. Regularly assess and refine assimilation strategies to ensure a consistent, engaging, and spiritually impactful journey for guests and new members. Analyze guest and new member data to identify engagement trends, recommend improvements, and drive process enhancements. Act as a point of contact for assimilation support across campuses, ensuring staff and volunteer teams have what they need to execute follow-up and onboarding steps with excellence. Assimilation Process Coordination Monitor and update guest follow-up and onboarding workflows in church database (Planning Center, etc.). Maintain systems that guide guests into Change Track, Groups, Dream Team, and other next steps. Manage automation tools for guest communication and onboarding (email/text templates, scheduling). Ensure new members’ milestones are tracked (attendance, baptisms, completions, etc.). Collaboration & Reporting Partner with Guest Experience Coordinator to ensure smooth handoff from “first visit” to “next step.” Collaborate with Next Steps Integrator to update and optimize assimilation journey touchpoints. Provide regular reports to department leadership on engagement trends and bottlenecks. Troubleshoot and resolve gaps in the follow-up or member engagement pipeline. Volunteer & Event Support Support volunteer check-ins and manage administrative tasks related to guest and new member engagement. Assist in the planning and execution of New Member Orientation events, Meet & Greets, or other assimilation-related gatherings. Administrative Excellence Maintain current and accurate records for guest and member activity. Oversee Monday boards related to assimilation status and projects. Prepare materials and resources for orientation and onboarding events.

The target hourly rate for this position ranges from $29.00 to $34.00, based on relevant experience, qualifications, skills, and work location. Requirements:
Experience in ministry, church administration, or guest services (1-2 years preferred) Strong organizational skills with the ability to manage multiple systems and workflows Excellent interpersonal and communication skills—both written and verbal Proficiency in digital tools such as Planning Center, Church Community Builder (CCB), and Google Suite Ability to track data and follow up with guests and new members in a timely, intentional manner Demonstrated alignment with the vision, values, and spiritual leadership of Change Church Self-starter who is proactive, detail-oriented, and adaptable in a fast-paced environment Availability to serve some evenings, weekends, and during church-wide events
