Job Description
The Practice Operations Supervisor, Primary Care plays a key role in overseeing the daily operations of the front office team in the primary care practice. This position ensures exceptional customer service, accurate billing and collections, efficient scheduling and regulatory compliance. The Practice Operations Supervisor, Primary Care also acts as a liaison between front office staff, clinical staff, and management, while actively participating in primary care front office duties. Works collaboratively with other team members to provide quality service to proactively support efforts that ensure delivery of safe patient care and services and promote a safe environment at Children’s Healthcare of Atlanta.
Experience
3+ years of experience in a medical front office setting with at least 1 year of experience in a supervisory or lead role
Preferred Qualifications
Bachelor’s degree
Pediatric office setting
Education
High school diploma or equivalent
Certification Summary
No professional certifications required
Knowledge, Skills, and Abilities
Strong knowledge of medical billing, collections, insurance verification, and EMR systems
Exceptional organizational and interpersonal skills
Ability to train, motivate and supervise a small team
Professional, calm and confident communication style
Job Responsibilities
Manage the day-to-day operations of the staff, including but not limited to work assignments, task management, time tracking/management, onboarding and on-the-job training.
Ensure front office workflows are followed consistently and efficiently.
Monitor staff productivity, accuracy, and professionalism.
Manage front desk coverage and time-off schedules to ensure seamless office operation.
Resolve escalated patient issues or complaints with tact and professionalism.
Serve as the primary point of contact for front office operations with the Practice Manager and/or the Director of Operations.
Oversee daily charge entry, payment posting, and patient collections.
Monitor accounts receivable reports and follow up on outstanding patient balances.
Ensure proper insurance verification, coding, and documentation for billing accuracy.
Collaborate with the billing department to troubleshoot claim denials or issues.
Ensure compliance with HIPAA and other healthcare regulations.
Monitor and order front office supplies and manage petty cash (if applicable).
Interface with and coordinate activities related to human resources, finance, patient accounts, and information systems & technology, ensuring effective and efficient delivery of services.
Take an active role in coaching and mentoring the team to ensure continued employee growth and success both on the team and with the broader Children’s organization.
Assist manager with employee performance evaluations and hiring decisions.
May be responsible for editing timecards and performance management for all direct reports.
Front desk support (as needed) – ability to perform all front office duties to include check-in/check-out, scheduling, insurance verification, payment collection, phones, EMR documentation support, referrals, and medical record processing.
