Full Job Description Division:
Operations Purpose:

This position manages day-to-day activities to ensure the department is running efficiently and meets the expectations and needs of patients and staff. Assists with the management/ administrative aspects and has operational control of a range of projects. Works on assignments related to project development and management initiatives, internal operating procedures, business processes and policies.

Scope:

Provides immediate supervision to a unit or group of operational or medical employees. Sets and delegates day-to-day tasks to achieve operational objectives. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with division policies, procedures, and other defined needs. Ensures accountability and stewardship of practice resources (operational, financial, and human) in compliance with division standards and procedures. Assist with tracking supply trends and cost, as well as limiting waste. Managing resource cost and remaining in budget where budgets are assigned. Other duties will include but not limited to: May supervise and direct the work of others. In supervising will be assisting with decisions about new employees, evaluating, scheduling/work assignments, work procedures, resolving conflicts and training. Responsible for determining and recommending training needs and planning, coordinating, and overseeing the day-to-day operations based on the needs of the practice. Supervises patient customer service and support functions. Assists in performing all tasks necessary to achieve the organization’s mission and help execute staff succession and growth plans. Lead efforts to recruit new employees with the goal of attracting and retaining qualified individuals. -Assist with maintaining quality assurance programs. Training and supervising/assisting new employees, tracking and measuring staff performance. Assist with community partners/vendors for hospital-based and vendor-based needs. Keeping community partnerships intact and assisting Director with strengthening those Connections. Employee referrals to practice operations director or human resources as needed. Supervises development and implementation of business forms, documents and web forms. Develops, modifies, and implements policies, rules, and procedures. Implements work plans and initiatives as directed or assigned. Collaborates with staff and faculty and other administrative divisions to identify opportunities and develop solutions to problems and issues. Frequently handles sensitive and/or confidential issues. Other tasks as indicated by Practice Operations Director.

Minimum Qualifications:

Bachelor’s degree or equivalent experience including 3 years of managerial and oversight experience. Additional training/education or equivalent experience, as well as business need, are required for movement into higher level jobs.

Knowledge, Skills and Abilities:

Ability to multitask and delegate Excellent oral and written communication skills Demonstrated ability to work well under pressure and with tight deadlines Ability to perform a wide range of duties and tasks Supervisory experience and leadership skills Knowledge of project development and management Ability to efficiently follow and implement policies and procedures Experience researching and analyzing financial and other reports and compiling information Refined ability to delegate responsibilities and provide leadership and training to key personnel Organized Proficient in Microsoft applications (including but not limited to Excel, Word, PowerPoint, and Teams)

Work Environment and Physical Demands:

At times, the position may involve frequent bending, moving, lifting, and carrying material weighing up to 50 pounds; at times the position may involve moving, lifting, and carrying material weighing up to 70 pounds; standing up to eight hours each day; exposure to high noise levels and exposures to infectious disease based on the nature of the practice.
