Position Overview The STEM Program Site Coordinator is a part-time, locally based role responsible for supporting the successful execution of

programming in a specific city or geographic area. Under the supervision of the Programs Manager , this role provides on-the-ground logistical and operational coordination for

STEM NOLA

events and programs—including STEM Saturdays, STEM FESTs, and other client-sponsored experiences. The Site Coordinator serves as the primary local logistics lead , working closely with local clients, facility partners, volunteers, and community stakeholders to ensure smooth implementation of all programming. This role does not include program development or instructional design , but is focused on event logistics, partner communication, and operational execution . Key Responsibilities A. Local Program Coordination & Logistics Coordinate and confirm venues for STEM Baton Rouge programming, ensuring site readiness, accessibility, and appropriateness for activities. Manage day-of logistics at events, including registration, signage, supplies, volunteer check-in, and program flow. Arrange and confirm lunch, snacks, and refreshments for in-person events in collaboration with vendors or hosts. Support equipment setup and breakdown in coordination with the STEM Global Action Operations and Technology Teams. B. Stakeholder Communication & Community Engagement Serve as a point of contact for local clients, facility managers, and community sponsors regarding program schedules, logistics, and expectations. Communicate with local police, fire departments, or security teams to ensure safety protocols are in place. In partnership with STEM Global Action Communications team, coordinate with local media outlets to promote coverage of events and publicize community engagement. In partnership with STEM Global Action Volunteer Manager, work closely with community organizations to assist in sourcing volunteers and event-day support . C. Internal Coordination Maintain weekly 1:1 check-in meetings with the

Global Action Programs Manager to align on upcoming activities, share feedback, and report progress. Participate in team calls and planning meetings as required to stay connected to the broader Programs Team. Ensure timely reporting on attendance, issues, and successes from each local event. Qualifications & Skills Required Qualifications College Degree and experience in event coordination, community engagement, or youth programming preferred. Previous experience working in a logistics or coordination role for public events, community programs, or school-based initiatives. Preferred Skills Strong interpersonal skills; comfortable communicating with educators, public officials, and business partners. Organized and detail-oriented; able to manage complex schedules and logistics independently. Familiarity with local communities, vendors, and media contacts is a plus. Proficient with basic communication platforms such as email, Google Workspace, and Zoom. Ability to remain calm and solutions-focused in dynamic, fast-paced event settings. Additional Requirements Must reside in or near the assigned city or region. Availability to work evenings, weekends, and occasional holidays based on program schedules. Reliable transportation required to travel to program venues and meetings. Must be able to lift, carry, and assist with basic setup needs for events (with reasonable accommodation).
