The Administrative/Operations Director is responsible for overseeing the daily administrative and operational functions of the company. This role requires a strong leader who can manage a variety of tasks, coordinate with multiple departments, and ensure that business processes run efficiently. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities while maintaining effective communication with team members, clients, and stakeholders.

Key Responsibilities:

1. Daily Planning and Administration Review and respond to emails, calls, and messages to address urgent matters. Organize and prioritize the daily agenda, categorizing tasks into operational, marketing, financial, HR, and sales objectives. Ensure daily activities align with the company’s strategic goals. 2. Team Coordination and Scheduling Coordinate the team’s daily schedule and send memos regarding job walks, design consultations, proposal reviews, client meetings, and one-on-ones. Liaise with the Project Manager to stay updated on project requirements, progress, and resource needs. Attend meetings with bookkeeping, accounting, business advisors, and insurance providers. 3. Project and Order Management Maintain up-to-date project management boards and pipelines. Execute follow-up tasks based on project stages to ensure smooth progression. 4. Proposal Development and Bidding Oversee proposal development, including takeoffs and measurements. Research pricing, materials, and options in collaboration with the team. Ensure proposals are detailed, accurate, visually appealing, and client-aligned. 5. Financial and Transaction Audits Conduct audits to verify transaction accuracy and resolve discrepancies. Ensure financial records are well-maintained and compliant with company policies. 6. Client Relationship Management Schedule and conduct client check-ins to address questions and refine proposals. Prioritize current clients while actively engaging new leads to encourage project sign-offs. Call inbound and cold leads daily to qualify opportunities, build rapport, and move them forward in the sales pipeline. 7. Staff Training and Development Train staff on procedures, standards, and professional development topics. Analyze marketing performance and recommend strategy adjustments. Oversee marketing content production across all channels. 8. General Administration Manage office inventory, process receipts, and handle reimbursements. Monitor employee attendance and keep performance records current. Review job site photos, respond to homeowner questions, and document updates. Ensure CRM records are accurate and up-to-date. 9. End-of-Day Review Ensure all daily objectives are met and follow up on outstanding items. Prepare for the next day by organizing tasks and materials. Coordinate content delivery with the social media team.

Qualifications:

Proven experience in operations or administrative leadership, preferably in construction or a related industry. Strong organizational, multitasking, and time management skills. Excellent verbal and written communication skills. Proficiency in Microsoft Office, CRM systems, and project management tools. High attention to detail with a proactive mindset.
