What You Will Do:

Administrative Support for Programs Under the direction of the Vice President of Program and & Impact provide admirative support for the Program & Impact team Conduct research to identify new resources, best practices, and opportunities that support BGCB programs. Maintain, update, and organize key SharePoint sites to ensure BGCB staff have access to accurate and up-to-date program resources. Develop and maintain templates, program toolkits, and documentation to streamline BGCB program operations. Create content for SharePoint, including staff and program highlights, to keep teams informed and engaged. Support meeting preparation, including creating agendas, preparing materials, and recording minutes for program-related meetings. Resource Management and Collaboration Maintain comprehensive records of program tools, resources, and documentation to ensure staff can easily access needed materials. Collect, organize, and distribute program-related data and reports for internal and external use. Assist in developing and maintaining calendars for programs, training sessions, and professional development opportunities. Regularly update BGCB program content with Boys & Girls Clubs of America (BGCA) resources to ensure Clubs have access to relevant tools, curriculum, and best practices. Work with the Director of Academic Success and Director of Alumni Engagement on scholarship records and scholarship information to ensure accurate tracking and communication with Clubs. Collaborate with Club leadership and staff to assess and identify programmatic resource needs, including learning and development opportunities, materials, curriculum, and other essential resources to enhance program delivery. Event and Project Support Support the planning and coordination of select program-specific events, ensuring alignment with BGCB program goals and objectives. Collaborate with the marketing and events team as needed to ensure the smooth execution of cross-departmental initiatives without duplication of duties. Support the development of new systems and processes that increase programmatic efficiency and effectiveness. Capacity Building Provide direct support to program leads by assisting with document creation, resource sharing, and administrative follow-up to ensure key initiatives remain on track. Help manage the Department Team Leader application process and coordinate cross-Club department team meetings, including scheduling, ordering, note-taking, and meeting follow up. Assist in tracking outcomes and progress programs by collecting data and maintaining organized records. Support Continuous Quality Improvement (CQI) processes by organizing data, tracking outcomes, and contributing to program enhancements. Serve as a Youth Program Quality Assessment (YPQA) external assessor to support BGCB’s focus on high-quality program delivery and staff development. Additionally Travel consistently between sites and activities to support direct service staff. Participate in youth-related training, including, but not limited to, mandatory reporting, boundaries, and behavioral management. Other duties as assigned.

What You Will Need:

Strong organizational skills with the ability to manage multiple priorities simultaneously. Proficiency in Microsoft Office Suite, including SharePoint, Word, Excel, and Teams. Excellent communication skills, both written and verbal. Detail-oriented with strong follow-through and a proactive approach to supporting others. Experience working in youth development, education, or non-profit settings preferred. Ability to collaborate effectively across teams and departments. Flexibility and adaptability to meet the changing needs of the organization.
