This individual will work closely with executive leadership and department heads to ensure smooth, compliant, and efficient clinic operations across multiple teams. The ideal candidate is a self-starter with excellent communication and organizational skills, and a passion for creating a collaborative and positive work environment. Responsibilities Oversee and improve operational systems, processes, and policies in support of the organization’s mission. Collaborate with leadership on budgeting and financial decisions; reconcile credit card statements and track operational expenses. Coordinate building and facilities maintenance; serve as the liaison to landlords, vendors, and subcontractors. Maintain and order office and clinical supplies and manage vendor contracts for utilities and technology services. Complete bi-weekly payroll submissions and monitor staff timekeeping, PTO, and attendance records. Oversee insurance credentialing processes for new and existing staff; ensure compliance with industry standards and updates. Serve as the primary point of contact for billing operations; attend regular billing meetings to support issue resolution. Stay informed of changes in insurance policies and implement updates across relevant departments. Support HR, billing, and marketing departments through cross-functional coordination and task management. Contribute to leadership and staff meetings; support executive team with administrative and strategic projects. Uphold strict confidentiality and HIPAA compliance standards in all interactions and documentation. Foster a culture of trust, collaboration, and continuous improvement across all teams.
