Starting at 30 hours per week, with a clear path to transition to a full-time 40-hour schedule based on performance and business needs, the Coordinator will play a pivotal role in preparing grant applications, managing project timelines, facilitating high-stakes meetings, and building professional relationships to advance our goals. Grant Application Management:
Oversee the end-to-end process of preparing and submitting grant applications, including researching funding opportunities, drafting proposals, compiling supporting documents, and ensuring compliance with grant requirements and deadlines.
Project Management:
Act as the lead project manager for grant-related initiatives, creating detailed project plans, tracking milestones, managing budgets, and ensuring timely delivery of all deliverables. Coordinate with internal teams to align grant objectives with the agency’s creative vision.
Meeting Coordination:
Schedule, organize, and facilitate meetings with internal creative teams, clients, and external stakeholders, preparing agendas, presentations, and follow-up action items to ensure productive outcomes and clear communication.
Operational Support:
Streamline daily operations by managing schedules, organizing workflows, and maintaining efficient communication channels between design, motion, social media, and leadership teams. Implement tools and processes to enhance productivity and collaboration.
Networking and Relationship Building:
Actively build and maintain a network of industry contacts, including grant organizations, creative partners, and potential collaborators, to support grant opportunities and business development. Represent the agency at networking events, conferences, and industry gatherings as needed.
Administrative Excellence:
Handle critical administrative tasks, such as maintaining organized project files, updating databases, tracking budgets, and ensuring all grant-related documentation is accurate and accessible.
Cross-Team Collaboration:
Work closely with the creative team to ensure grant proposals reflect the agency’s artistic and strategic goals, incorporating input from designers, animators, and writers to create compelling submissions.
Reporting and Communication:
Provide regular, detailed updates to leadership on project progress, operational challenges, networking outcomes, and grant application statuses, offering actionable insights to improve processes and outcomes.
Process Improvement:
Identify opportunities to optimize workflows, reduce inefficiencies, and enhance the agency’s operational and grant application processes, contributing to overall business growth.
Experience:
2â3 years of professional experience in a business or office environment, ideally within a creative, marketing, advertising, or project management setting. Prior exposure to grant applications, funding proposals, or administrative coordination is highly desirable.
Organizational Skills:
Exceptional organizational abilities with a detail-oriented, assistant-type personality, capable of managing multiple priorities, deadlines, and complex projects with precision and efficiency.
Networking Acumen:
Proven ability to build and nurture professional relationships, with strong interpersonal and communication skills (both written and verbal) to engage with diverse stakeholders, from grant officers to creative teams.
Project Management Expertise:
Hands-on experience in project management or coordination, with a track record of successfully managing timelines, deliverables, and cross-functional teams. Familiarity with grant processes is a plus.
Technical Proficiency:
Proficient in office and project management tools, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and software like Trello, Asana, or Monday.com for task tracking and collaboration.
Adaptability:
Ability to thrive in a fast-paced, creative environment, balancing independent work with collaborative efforts and adapting to evolving priorities and project scopes.
Work Schedule Flexibility:
