The school fosters a professional culture among all stakeholders, focusing on reflection and continuous improvement in all areas. Operations Manager The Operations Manager serves as one of the operations managers of the school and reports to and consults with the High School Operations Leader on all matters. Qualifications At least three years relevant professional work experience, ideally in a charter school or other K-12 education organization At least 1 year direct experience successfully managing and developing staff Innovative individual with a desire to think outside the box and create new systems and procedures to help the school Experience with operations systems such as PowerSchool, ATS, and Office of Pupil Transportation Strong interpersonal skills and track record of collaborating with diverse stakeholders Strong communication, writing, and presentation skills Strong organizational skills with attention to detail Relentless determination to do whatever it takes to help Atmosphere students succeed Proactive and creative problem-solver Values input and feedback Team-player capable of working both collaboratively and independently Strong recommendations from prior employers, colleagues, and employees Bachelor degree in a related field preferred Responsibilities Supervisor Responsibilities Oversee core tasks and evaluations of building Ops team Develop and implement a Operations-specific evaluation system Hold weekly check-ins with members of your team to ensure growth and professional development Create innovative systems that focus on streamlining operational processes and procedures Data Management and Compliance Maintain and update student information in student information system and student roster in the areas of academics, personal contact information, health and emergency information, and parental permission, using both the State required database and school database Implement and manage record-keeping systems, documents, and document requests Work with nurse to maintain student health records Oversee distribution of all communication in close collaboration with the High School Operations Leader Facilities Ensure that the school is neat and clean on a daily basis Manage cleaning vendor in each building to ensure all spaces are wiped, swept, mopped Have Custodian identify HVAC, leak, repair issues and notify Chief Operating Officer in timely and urgent fashion Work with building owner to make repairs quickly and involve leadership as needed Clean and organize all closets Put out decorations for events throughout the year Manage cleaners Attendance Manage/track attendance and tardiness of students Run attendance meetings and attendance team in respective building Produce attendance reports and provide timely updates to key stakeholders Generate letters and make phone calls home Schedule and facilitate meetings with families of chronically absent or late students in collaboration with school life and leadership Verify daily attendance by checking rooms Ensure attendance migrates successfully from the swipe card system to the student information system Maintain an attendance rate of 90% or better in your building Onboarding During Year New Student Locker assignment on a document shared with Leadership Print and distribute schedule Interview w/ principal or school leader when necessary Email creation and addition to student and parent email groups PowerSchool upload PowerSchool letter and account management Facilitate “New Family Orientation” meeting once per month as new students are onboarded during which time NFO materials and the Family Handbook are distributed Develop NFO packet and presentation to be shared during the meeting New Employee (w/ CEO and High School Operations Leader) Create email and add to all staff and department email groups Share Calendar and Drive folders Assign laptop Distribute keys (chromebook cart, cabinet, desk, bathroom) Lockers Assign lockers to students at the start of each year Manage spreadsheet of assigned lockers and ensure all students have a locker Work with inspect lockers quarterly to ensure they are functioning properly, are actually being utilized by the assigned students, and do not have food or other items left in them School Event Planning Plan and manage logistics and preparations for school events and activities as needed, including but not limited to Family orientation Parent-student-teacher conferences Family registration Trips (field trips and reward trips) Awards ceremonies Holiday events Create and maintain online and paper calendars Coordinate and track all visitors and tours Food Services Ensure food services comply with all relevant statutes, regulations, and laws Manage food distribution, including breakfast, snack, and lunch Ensure weekly compliance documents are accurately completed and that forms are delivered in a timely fashion Transportation Assist with student transportation with the Office of Pupil Transportation Interface with bus companies Supplies Create a list of items per building and email to High School Operations Leader to place order Maintain supply closet in main office Stock classrooms with needed supplies Stock staff lounge with needed materials and supplies ATS Make entries and updates in ATS Audit data to ensure accuracy on a monthly basis Other Duties Manage the nurse in providing services Any and all other responsibilities as delegated and assigned by the High School Operations Leader Enrollment Assist in the Open Houses for Perspective Families, which occasionally take place on weekends Handle the documentation of all incoming families (packets and required documents) Assist in the Pre-Registration process of incoming students via ATS Testing Work with the High School Operations Leader to coordinate and administer school-wide testing Purchasing and Financial Management Work with the High School Operations Leader to manage fiscal operations at the school and ensure compliance with Atmosphere Academy’s fiscal policies and procedures in concert with Atmosphere’s Finance team Human Resources Draft and update job descriptions in close collaboration with the CEO and High School Operations Leader; assist in classifying positions and/or reclassifying positions as needed Assist with fingerprinting setup process Work with the High School Operations Leader to lead employee recreation and recognition programs Assist the High School Operations Leader in maintaining employee records Post open positions on school website and job posting websites Research various advertising mediums for open positions and place advertisements accordingly Attend job fairs at colleges, universities, other charter schools etc., including those sponsored by the NYC Charter School Center, NYC Sped Collaborative, and CharterSchoolJobs.com Manage the onboarding and offboarding process for all employees. Coordinate all benefit packages via third party administrator and processing of employee deductions.
