Description The Director of Operations for Admissions oversees the admissions operations team, ensuring smooth functionality and integration across systems, processes, and staff training. This role is responsible for leading the team in creating and maintaining Standard Operating Procedures, managing key relationships with consultants and stakeholders, and coordinating technology solutions to support data-informed decision-making. The Director ensures data integrity through the management and upkeep of critical systems, while supporting admissions initiatives through ongoing analysis, training, and process optimization. The Director of Operations leads strategic admissions functions with a focus on optimizing the admissions program Slate to enhance application review, data integrity, and student engagement. This role ensures efficient operations through system oversight, staff training, and cross-campus coordination. Examples of Duties Supervisory
Perform as a member of the admissions leadership team to provide office leadership and help set strategic direction for people, culture, and processes
Help set culture and strategic direction for the Admissions Operations office in alignment with institutional goals
Supervise directly the overall operations team composed by an Associate Director of Operations, an Assistant Director of Operations, and a team of Operations Specialists
Manage, lead, and streamline relationship with consultants and external stakeholders
Provide clear direction for staff and manage operations specialists’ workloads daily to meet internal deadlines and goals
Lead the operations division efforts for data-informed decisions, and coordinate technology needs for areas to improve
Perform analyses, identify problems and solutions, make recommendations and evaluate results relating to the development, enhancement, and maintenance of existing admissions practices, processes, and culture
Systems, Technology & Processes
Manage the integrity of the admissions process flow from application through enrollment. Proactively ensure data integrity across all systems through diligent monitoring of reports and processes
Conduct research; coordinate, generate and analyze enrollment management data/reports to support data-driven planning, management and decision-making processes within the Admissions division
Maintain the admissions Slate instance in collaboration with the Associate Director of Operations and the Assistant Director of Operations to assist with core admissions functions including application review and student engagement
Serve as a user and administrator for various systems including Technolutions Slate, Business Object, Tableau, Colleague, CollegeNet and others as needed
Partner with all Admissions subdivisions on the daily operations of Slate, including investigating and configuring Slate forms, communications, events, interviews, portals, workflows, data imports, automations, queries, and reports
Manage and resolve Slate troubleshooting requests from Admissions team and partnering offices
Build and update queries and reports for enrollment data analysis as requested, collaborating closely with the Associate Director of Operations and Assistant Director of Operations
Administer annual updates and cycle preparation for the Slate application
Identify opportunities to optimize Slate usage for the Admissions office
Work with both internal and external stakeholders to review and manage data, as well as application imports and exports
Coordinate & facilitate staff development, training, and onboarding in the use of Slate and other relevant software and technologies (creating documentation, leading training sessions, and acting as the primary point of contact for any Slate-related issues)
Training & Development
Provide training and/or supervise training and professional development opportunities to create a high-performing and customer service driven Operations team
Ensure access to CRM training/documentation for new Admissions staff and coordinate ongoing training for existing staff to keep knowledge current
Provide training and/or supervise the training of all admissions staff in the use of technology (Slate, Colleague, Docuware, etc.) in the admissions office for Pratt Brooklyn, NYC and Pratt Munson campuses
Oversee all Standard Operating Procedure creation, documentation, and upkeep for all the admissions divisions
Admissions Support
Collaborate with the Directors of Admissions, the AVP for Admissions, and the VP for Enrollment Management to oversee the annual admissions budget planning and allocation
Work closely with Admissions leadership to ensure that operations for Pratt Brooklyn, NYC and Pratt Munson run smoothly
Assists in admissions events, National Portfolio Days, Admitted Student Days, Family Weekends, etc.
Perform other duties as assigned Qualifications Required Skills & Qualifications Bachelor’s degree or its equivalent
5 years of experience in an operations department or transferrable professional experience with direct experience with implementation of the Slate CRM
5 years of experience in leadership or supervisory roles
3 years of experience in Higher Education or a similar educational setting
Computer proficiency, including knowledge of office productivity software, preferably MS Office & Google Suite
Technical ability and desire to learn, navigate, improve upon, and build systems
Proficiency using and analyzing data
Ability to work independently in a dynamic environment with changing priorities and multiple responsibilities
Ability to establish and maintain effective working relationships with supervisors, staff members and vendors
Excellent written and oral communication skills, and attention to detail
Proven ability to manage confidentiality and security of student information and records or other protected information Preferred Qualifications Good sense of humor
