Job Description
The Bucks County Choral Society is seeking a part-time Choir Operations Manager to assist with administrative activities during the Choir’s regular season. Most duties can be performed remotely, but onsite presence at the Choir’s performances in the Doylestown, PA area is required. Occasional brief attendance at the Choir’s Tuesday evening rehearsals may also be needed to facilitate administrative tasks. The Choir Operations Manager will provide administrative support to the Bucks County Choral Society volunteers and staff in support of the Artistic Director and Board of Director’s vision for the organization. The Choir Operations Manager coordinates with and supports volunteers and staff in implementing operational tasks in preparation for and during the Society’s concert events. The Manager reports to the Chair of the Board of Directors and participates in an annual review. Responsibilities Develops project plans for the Society’s concert season and for individual concert events in partnership with the Artistic Director, Board, and Choir Council (through the Choir President) Ensures that concert and rehearsal planning (including set-up) is proceeding to plan and follows up with Production Team, Marketing Team, Choir President and other volunteers and staff for progress updates Works with the Artistic Director to execute and manage contracts with guest artists/ensembles and performance and rehearsal venues Works with the Production Team to execute and manage agreements/contracts with moving and storage service providers Working with volunteer leadership and the Artistic Director, oversees the information gathering and creation of the program book for performances, including program book ads Manages and executes concert ticketing responsibilities, including setup and maintenance of the Choral Society’s ticketing platform, distribution of tickets to choir members as needed, management of public ticket inquiries, and preparation for ticket sales at the concert venue Provides regular updates on the progress of ticket sales; tracks sales data and provides ticket sales reports to the Board marketing committee Coordinates and oversees front-of-house team for performances including recruitment and disposition of volunteers Ensures efficient operations and a welcoming environment for patrons at performances Fosters a culture of warmth, teamwork, collaboration, clear communication, shared expectations, and mutual support Undertakes other administrative duties as needed Required Skills/Qualifications Experience planning projects of moderate complexity involving large teams Working knowledge of Microsoft Office suite and use of database/CRM software (Bloomerang experience a plus) Familiarity with performing arts and non-profit organizations preferred Excellent communication skills and problem-solving abilities Ability to be on-site at choir events
