Overview:

We’re seeking a friendly, organized, and proactive individual to serve as the face of our office and a key support for our internal team. As our Hospitality Coordinator, you’ll be responsible for creating a welcoming and professional environment for clients and team members alike. This role blends hospitality, administrative support, event coordination, and light sales support, making it perfect for someone who thrives in a dynamic, people-oriented position. This position reports to the VP of Business Development.

Key Responsibilities:

Answer and direct incoming phone calls with professionalism and warmth. Greet guests and clients upon arrival and ensure a positive first impression. Maintain a clean, welcoming, and well-stocked office environment. Coordinate catering for meetings and events. Prepare beverages/snacks and set up meeting spaces for internal and client meetings. Support the planning and execution of company events, meetings, and client visits. Manage event calendars, logistics, supplies, and post-event cleanup. Receive incoming leads (phone calls & walk-ins) and promptly communicate with the sales team. Record basic lead information into CRM. Assist with scheduling, confirmations, and internal communications. Help organize and maintain office supplies and hospitality resources. Provide light support for special projects as needed. Other duties as assigned.

Qualifications:

Friendly, outgoing, and professional demeanor. Strong verbal and written communication skills. Ability to multitask, stay organized, and adapt to changing priorities. Experience in hospitality, event coordination, customer service, or office administration preferred. Proficiency with Google Workspace and CRM tools.

General Position Expectations:

Working hours are generally 8 AM to 5 PM, 40 hours per week After-hours and weekend work may be required Ability to sit for extended periods and use a computer. Ability to work in a fast-paced, high-growth environment.
