Position Reporting to the Executive Director, the Operations Manager & Accountant strengthens operations, manages accounting and bookkeeping functions, and ensures high levels of measured effectiveness. The Operations Manager & Accountant works closely with the Executive Director, Communications Manager, and Programs Manager at the organization to improve workflow, increase efficiency, ensure seamless integration of data across platforms, and generate and ensure maintenance of key performance indicators for business performance. Bookkeeping and general accounting functions include weekly processing, monthly reporting, and preparation of dashboards for monthly Treasurer’s Reports. Operations Responsibilities Oversee day-to-day office operations and business services. With Executive Director, ensure appropriate business records, including insurance policies, building maintenance, and historical records. Assist the Executive Director to prepare files and manage the annual audit process. Conducts Risk Analysis, identifies/manages risk and implements solutions as indicated. Tracks Key Performance Indicators (KPIs) Assists with the annual budget process. File 990s with PA Department of State. Draft vendor contracts, MOUs with partner organizations. Review vendor relationships annually and conduct RFPs for new vendors as needed. Manage all vendor relationships, including supplies, building, insurance, technology, information technology, and data systems. Develop and oversee annual maintenance plans for the building, technology, and network administration. Ensure that regular maintenance occurs and that annual inspections are completed. Monitor office and building safety and security policies to ensure that staff and guests adhere to safety protocols. Reviews and executes vendor agreements in DocuSign. Project management for special events, fundraising events, and other projects as needed. With Executive Director, manage brokerage relationships for comprehensive insurance programs including health, long-term disability, short-term disability, life insurance, worker’s compensation, and 403B retirement plan. Coordinates with attorney for legal review of annual policies and procedures and maintains organizational system to ensure operational files are updated regularly. Bookkeeping and Accounting Responsibilities Maintain inventory of technology devices, including hardware and software. Process checks for grants/AP, reconcile statements (bank, money market, investment), record journal entries, transfers, and investment income, process credit card payments, and more. Average 80 transactions per month, across two accounts. Record monthly investment statement activity from three external investment managers or firms. Reporting and tracking of awarded grant expenses, Bill Pay Reports, Checks and Entries, Consolidated Monthly Profit & Loss Statements, Consolidated Balance Sheet, Consolidated Monthly Investment Income, program expenses, Depreciation, Perpetual Trust distributions, Private Equity statements, Investment account statements, Prepare the Treasurer’s Report dashboard, Business Credit Card payments, Investment Account transfers, and Retirement Account Employee Matching Software Systems include QuickBooks Online, Retirement Fund 403B, Online portals from investment firms, and Microsoft 365 SharePoint Filing IRS Form 5500 for 403B Retirement Plan Skills Strong project management and analytical skills, including scoping work, creating, and managing project plans. Bookkeeping, general accounting, and reconciliation. Preparation of consolidated accounting dashboard reports for monthly Treasurer review and presentation to the Board of Directors. Reporting and tracking expenditures. Technology management experience, including hardware, software systems integration, database management. Relevant and transferable skills in nonprofit management and leadership. Ability to effectively manage and prioritize competing demands. Holds self and others accountable for results. Key attention to detail. Willingness to support staff and volunteers, actively contributing to operational tasks alongside the staff team. Ability to constructively address and resolve conflict. Bachelor’s degree preferred (not required) or more than five years in elevated operational experience required. Ideal candidates will be willing to learn and be curious. Working hours:
40 hours per week exempt salary position with flexible but consistent hours. This is an in-person position based in Lancaster, PA with the option to work remotely one day per week.
Salary Range:
$60,000 – $75,000 depending on education, experience, and qualifications. Some mornings, evenings, and weekends will be required to attend events, Board of Directors, and committee meetings. Advance notice will be given. Health insurance coverage provided through an individual coverage health reimbursement arrangement (ICHRA). Paid parking space. Eleven paid holidays and 10 days’ vacation, which must be taken within the year they are accrued. Vacation days accrue at the rate of 1.25 days per month. Paid short term disability and long-term disability. Life insurance plan. Retirement plan, self-funded 403B plan, with employer matching employee contributions up to 5%.
