In this role, you’ll be a key piece of the operational heartbeat of the agency – owning timelines, guiding cross-functional teams, and keeping both our clients and our internal team moving forward with clarity and confidence. As a senior team member, you’ll also play a key role in shaping internal processes, supporting new business, mentoring teammates, and helping foster an agency culture that’s rooted in collaboration, responsiveness, and accountability. As a key operations manager on a small team, you’ll work closely with strategists and creative directors within the agency. It’s important that you have experience and confidence in navigating different communication styles and working well with a variety of coworkers. Core Responsibilities Project Execution & Delivery Own full project lifecycles – from briefs, to kickoff, execution, QA, and post-mortem. Manage project timelines, budgets, scopes, and resources across a mix of event, marketing, and strategy-based work. Ensure all client deliverables are high-quality and client-ready. Mitigate risks and prevent project overages or delays by proactively managing expectations and resources. Sustain and Deepen Client Relationships Lead day-to-day project management and meetings for key accounts—including for our top revenue-generating client and their various sub-brands. Partner with Account Directors and Strategists to align deliverables with client goals and KPIs. Be a reliable point of contact, building trust through proactive communication and operational excellence. Optimize and Own Project Systems Act as the internal owner of our project management system, ClickUp, ensuring team-wide adoption, evolving workflows that improve speed, visibility, and accountability. Lead resource planning, team sprints, and participate in forecasting to ensure the agency is staffed and aligned. Update and maintain internal project trackers, dashboards, and send regular status communications to keep the team up to speed on project status. Collaborate closely with Agency Managing Director on maintaining forward progress within the team.
Additional Areas of Ownership Business Development Support:
Participate in early-stage client conversations, help shape scopes, and support the development of pitch decks, proposals, and opportunity tracking.
Office & Team Admin:
Support basic office management tasks such as PTO tracking, internal calendar alignment, and internal communication coordination. What Success Looks Like Projects are delivered on time and within budget, with high confidence across clients and the team. ClickUp is optimized and adopted agency-wide as the source of truth. Clients feel supported, and relationships deepen and grow through trust, reliability, and results. Internal systems, budgets, and communications are organized, documented, and effective. Preferred Skills & Experience 5+ years of experience in operations or project management (agency or marketing preferred). Proven experience managing and optimizing workflows in ClickUp (other acceptable tools might be Monday.com, Workfront, Asana or others) —including building templates, automations, and scalable systems. Willingness to travel for occasional client events, offsite meetings, or on-the-ground project support as needed. Exceptional attention to detail and a relentless focus on quality and accuracy. Strong communication and multitasking skills, especially in cross-functional, client-facing roles. Comfort with budgeting, invoicing, and understanding the financial impact of project work. Experience onboarding new employees and creating internal documentation/training processes. Strong emotional intelligence, composure under pressure, and a natural drive to keep things moving.
