We a caring school community situated in a vibrant and accessible neighborhood in Philadelphia committed to the highest standard of Montessori education for children. We have well established systems in place, excellent ratios, in-house coverage for absences, and a full administrative team including dedicated operations support. Because we are a growing school that will serve up to 110 children, ages 15 months through 3 years old in three buildings and we’re looking to add a Director of Operations to our senior administrative team to work closely with the Curriculum Director and the Head of School on the operations and facility management side.
Job Summary:
The Director of Operations will collaborate with the senior administrative team to support a high-quality Montessori program and manage the school’s daily operations. This role involves supporting staff, children, families, and facilities to ensure smooth and compliant functioning.
Key Responsibilities:
Operational Direction:
Oversee day-to-day operations, ensuring safety, compliance, and effective use of technology.
Personnel and Programming Model Values:
Promote a positive and professional environment aligned with school values.
Attendance Tracking:
Record staff attendance and manage PTO.
Payroll Preparation:
Prepare and communicate payroll information biweekly.
Staff Scheduling:
Ensure compliance in staff schedules and substitute as needed.
Human Resources:
Assist in hiring, onboarding, and training new staff; conduct evaluations annually.
Staff Performance Management:
Support corrective actions and performance improvement plans.
Parent Engagement:
Facilitate parent education events and admissions processes.
School Development:
Work to improve quality ratings.
Professional Development:
Organize and lead staff training sessions.
Marketing Support:
Assist with website and marketing initiatives.
Communications and Record Keeping Parent and Staff Communication:
Send weekly updates to staff and parents regarding events and important information.
Organizational Maintenance:
Ensure orderly management of office and storage areas; maintain confidentiality of records.
Availability:
Be accessible for discussions and communications with staff and parents as needed.
Regulatory Compliance:
Ensure adherence to PA Chapter 3270 and Health Department codes; lead staff training for compliance.
Facility Maintenance:
Address maintenance issues and coordinate repairs with vendors.
Supplies Management:
Monitor and order necessary supplies, ensuring stock levels are maintained.
Food Management:
Plan and manage weekly snack menus.
Events Management:
Coordinate logistics for special events and professional development.
Financial Management:
Manage budget-approved purchases and maintain financial records.
Attendance and Scheduling:
Track student attendance and manage staff schedules to meet compliance ratios.
Health and Safety:
Oversee medications and allergy plans for student safety. Support for
Lead Teachers:
Assist in monitoring student progress and participate in parent discussions as needed.
Growth Support:
Collaborate on current and future school growth and development projects.
Systems Thinking:
Engage in continuous improvement of school systems with staff input. Job Qualifications• for
Director of Operations:
To be eligible for the position of Director of Operations, the applicant must have minimum experience and education to meet the Director qualifications in 55 Pa. Code § 3270.34. Experience working directly with children in the classroom is a must. Montessori knowledge and experience is a plus but not a requirement. A minimum of 3 years experience in a director of operations role is a must.
