Full Job Description Overview General Function:

The Program Coordinator is responsible for managing the day-to-day operations of the after school and summer programs. This includes coordinating activities, supporting program staff, and families. The Program Coordinator plays a pivotal role in facilitating program delivery, monitoring effectiveness, and ensuring compliance with DSS and SC Endeavors.

Education & Experience:

Associate’s Degree in education, Youth Development, Early Childhood Education, or a related field; Bachelor’s Degree preferred; EDU 119 and BSAC certifications preferred. A minimum of 2 years’ experience in program coordination or management, ideally in a youth development or educational environment. Experience in managing and ensuring compliance is highly desirable.

Requirements:

Must be 21 years old or older High School diploma; college credits in Education, Physical Education and/or Sociology preferred. Minimum of one year of experience working with children and planning activities in a group setting. Excellent verbal and written communication skills. Current CPR/First Aid/AED certifications. (If hired, certification training will be available) Must possess a valid driver’s license and have a very reliable form of transportation for reporting to work. You will be required to have a comprehensive criminal background check, which includes a fingerprint-based criminal record check, Federal/State Child Abuse and Neglect Registry check, a State Sex Offender Registry check and the NCIC for National Sex Offender check. Dependable and the ability to work flexible hours. Must have a neat appearance, be dependable and on time

Knowledge:

Strong understanding of youth development principles and best practices. Familiarity with grant requirements and the management of compliance-related tasks. Knowledge of curriculum development and program planning.

Skills:

Exceptional organizational and time-management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher) and other relevant software. Capability to effectively prioritize and manage multiple tasks.

Abilities:

Strong leadership abilities with a capacity to support and guide a team of program staff. Ability to design, implement, and assess program activities and curricula. Proactive problem-solving skills, with the ability to address challenges in a timely and effective manner. Ability to work independently while also collaborating within a team.

Principal Activities:
Program Management:

Oversee the daily operations of the before/after/summer programs, ensuring the seamless execution of activities. Plan and schedule program events, activities, and sessions to align with objectives. Ensure all programs comply with relevant state and local regulations, including licensing and sanitation guidelines. Ensure all program activities align with grant goals and organizational objectives.

Staff Support & Development:

Provide ongoing support and guidance to group leaders and staff. Assist in the recruitment, training, and performance evaluation of group leaders and staff. Regularly meet with Director, to address concerns, provide updates, and ensure smooth communication.

Supervision & Safety:

Maintain active supervision of children to always ensure their safety and well-being. Enforce program rules and procedures to foster a positive and safe environment. Resolve behavioral issues or conflicts promptly and effectively. Supervise staff and provide necessary support. Lead regular staff meetings, one-on-one evaluations, and provide professional development opportunities. Promote a collaborative and positive team atmosphere.

Participant Engagement:

Develop and implement strategies to enhance participant engagement and improve their experience. Monitor attendance, behavior, and progress of participants and address concerns proactively. Communicate regularly with parents and guardians regarding program activities and participant progress.

Compliance & Reporting:

Ensure adherence to grant requirements, organizational policies, and regulatory standards. Prepare and submit regular reports on program activities, outcomes, and compliance to the program Director. Maintain accurate records of attendance, program activities, expenditures, and participant data as required.

Curriculum & Activity Planning:

Oversee the implementation of curriculum and program activities. Ensure resources and materials are properly utilized and readily available. Regularly evaluate the effectiveness of program activities and suggest improvements.

Budget & Resource Management:

Coordinate procurement and distribution of necessary program supplies and resources. Track and report on resource usage to ensure cost-effective program management.

Community & Stakeholder Relations:

Build and maintain strong relationships with community partners, stakeholders, and local organizations. Represent the program at community events to increase visibility and promote engagement. Address community or stakeholder concerns in a timely and professional manner. Program Coordinator is expected to work Monday – Friday during the school year from 12:30 pm to 6 pm daily. Summer schedule varies. The Program Coordinator is required to rotate schedules with Group Leader and Director in opening at 7:30 am some days during camps or on school closing day.
