JOB DESCRIPTION
Executive Director +
Team Support:
Provide direct administrative support to the
Executive Director:
managing calendar, preparing board + financial reports, taking meeting notes, etc Assist in the preparation of materials and reports for meetings, presentations, board meetings, and team events ensuring accuracy and timeliness Set the team up for success
- anticipating operational needs ahead of time, troubleshooting + implementing, managing team calendar invites, assisting with team onboarding, time off requests, and managing the organization’s EOS systems, while communicating clear expectations with the team
Team Culture:
leads the charge in making work feel a little more happy—celebrating birthdays, work anniversaries, planning staff retreats, and keeping the overall team morale high
Donor Management:
Monitor donor management systems, input incoming checks + donations, and coordinate thank-you’s and donations receipts with the team accordingly Manage contacts in Salesforce, ensuring all records remain accurate and up to date. Be ready to easily run reports for the team as needed. Assist Development Team with seasonal tasks aligned with fundraising events and year-end donation efforts. Mailing end of year donors letters, impact reports, and donor appreciation gifts
Office Management:
Work 2 days a week at the Franklin office (hours flexible) Handle all incoming mail, including sorting and distributing correspondence promptly, depositing checks, and managing upkeep of office space and supplies Coordinate the printing and distribution of marketing materials to remote team members as needed Manage all outgoing mailings for the team such as end of year gifts, thank you cards, team + donor needs
Financial Management:
Work with our Accountant to assist with tax preparation, audits, and debit card receipts, and payroll processing Manage all financial transactions within Quickbooks, including reimbursements, invoice payments, debit card reports and check deposits for team + vendors Ensure the organization stays in good standing on all 501(c)(3) nonprofit compliance filings with the IRS, Secretary of State, Guidestar, and donor reporting requirements.
QUALITIES OF A STRONG CANDIDATE
Experience:
Minimum of 3 years operations/executive support experience, preferably in a nonprofit or similar setting.
Database/Systems Extraordinaire:
High proficiency with CRMs (TKB uses Salesforce), and QuickBooks.
Service Oriented:
A natural inclination towards helping teammates and a passion for making a positive impact.
Organized:
Strong organizational skills with exceptional attention to detail.
Personable:
Enjoys interacting with people and is comfortable communicating via phone and in person.
Problem Solver:
Able to make informative decisions quickly and problem solve independently, in order to keep the team organized and focused on their roles.
