Job Summary:
We are seeking a highly motivated and skilled order entry / customer service representative to join our team at Accutrol LLC. The ideal candidate will be responsible for providing support to customers and manufacturing representatives of Accutrol globally. The Customer Service Representative is responsible for providing exceptional support to customers by responding to inquiries, resolving complaints, processing orders, and offering product or service information. This role acts as the primary point of contact for customers and representatives and plays a key role in ensuring customer satisfaction and loyalty. The ideal candidate will possess strong communication skills, a solution-oriented mindset, and the ability to handle a high volume of interactions in a fast-paced environment.
Essential Functions and Responsibilities:
Enter customer orders into the ERP or order management system with high accuracy. Verify product numbers, quantities, pricing, shipping instructions, and delivery dates. Review orders for completeness, compliance with company policies, and customer account status. Resolve any discrepancies or missing information before processing. Communicate with customers via phone or email to confirm orders, clarify details, or provide status updates. Serve as a liaison between sales, operations, and customers. Work closely with sales, production, logistics, and inventory teams to ensure timely fulfillment. Notify relevant departments of any order changes, delays, or special requirements. Monitor order progress from entry to shipment. Proactively follow up on back orders, lead times, and delivery issues. Maintain accurate and organized order records and documentation. Assist with the preparation of shipping documents and invoices if required. Identify and suggest process improvements for more efficient order handling. Keep customer records and order entry systems updated with the latest data. Support reporting and audits as needed.
Knowledge and Skills Requirement:
Understanding of the company’s products, services, and basic industry terminology. Familiarity with pricing structures, part numbers, and lead times. Proficiency in using ERP systems (e.g., SAP, Oracle, NetSuite) or order entry software. Experience with Microsoft Office, especially Excel, Outlook, and Word. Knowledge of shipping methods, terms, and basic invoicing procedures. Awareness of taxes, freight, and handling charges as they relate to orders. Understanding of internal workflows, approval processes, and data confidentiality. High accuracy in data entry and documentation. Ability to spot and correct errors before processing orders. Clear written and verbal communication with internal teams and customers. Active listening and the ability to professionally handle customer inquiries or issues. The ability to manage multiple orders and priorities in a fast-paced environment. Strong organizational skills to track deadlines and maintain records. Ability to identify issues in orders or processes and take proactive steps to resolve them. Escalate problems appropriately when necessary. Friendly, responsive, and helpful demeanor. Focused on accuracy and service quality to support customer satisfaction. Works effectively with cross-functional teams, including sales, operations, and logistics. Willing to assist coworkers and share knowledge for team success.
Education and Experience Requirements:
1-3 years of experience in an order entry, customer service, data entry, or administrative support role. Experience working in a manufacturing, distribution, or sales support environment is a plus. Familiarity with ERP/order management systems (e.g., SAP, Oracle, NetSuite, QuickBooks) preferred. Previous experience with CRM systems and Microsoft Office Suite (especially Excel and Outlook) strongly preferred.
