Job Description

Parts Purchasing Manager Jeffrey Allen Golf Cars Tampa, FL 33610 Jeffrey Allen Inc is one of the world’s largest dealers of golf carts & utility vehicles, with 3 dealership locations and 1 distribution center in Florida, serving both commercial and residential customers. We are a family owned and operated business with over 50 years in operation. We are a multi-faceted sales and distribution operation with distinct divisions that each require their own unique approach to sales and operations: Commercial/B2B Sales, Consumer/B2C Sales, Service, Parts Distribution, Rental, and Transportation. We are currently seeking a Parts Purchasing Manager. The Parts Purchasing Manager oversees and executes all parts stocking and purchasing strategies throughout the company including OEM parts, aftermarket parts, and wholesale distribution product lines. The Parts Manager is required to travel to all locations monthly, this role will spend about 20% of time traveling. The Parts Purchasing Manager sets and manages inventory levels in accordance with corporate policies from the VP’S or President.

Core responsibilities:
Purchasing:

Compiling, reviewing, and submitting parts orders on a daily basis for all dealership locations plus distribution center, for multiple vendors Compiling, reviewing, and submitting all special orders and urgent orders on a daily basis Data analysis, inventory planning and forecasting to ensure adequate on-hand stock levels of the highest volume parts at all locations Long-term forecasting (6-12 months) for wholesale distribution product lines Sourcing and negotiate with vendors or alternative vendors and products to maximize profitability Preparing and publishing regular reports to store staff and senior leadership regarding sales, stocking levels, profitability, shrinkage, etc Managing all parts SKU data in ERP system including pricing, replacements / obsoletes, recommended stock levels, order codes, vendor data, etc

Sales & Customer Management:

Receiving and processing orders from a handful of direct drop-shipped customer accounts, submitting these orders to manufacturers, managing the fulfillment and invoicing process from start to finish Communicating manufacturer price changes to key customer accounts Managing all backorders at all locations through continuous follow-up (and alternative sourcing when needed) Travelling to all locations to participate and/or monitor regular cycle count

Inventory Control:

Planning and coordinating schedules with all locations for weekly/monthly/quarterly Parts cycle counts Planning and coordinating schedules with all locations for annual Parts full inventory count. Personally supervising and directing the preparation for, and execution of, the annual Parts full inventory count at all locations (this requires several days on site) Travelling to all locations regularly to inspect and train Parts staff in good warehouse organization, inventory control practices, and proper company process & procedure Analyzing and recommending changes to senior management in Parts Dept processes and procedures to improve efficiency, reduce shrinkage, and improve profitability. Then implement these strategies throughout the company.

Experience and Skill Requirements:

High school diploma (or equivalent certificate) minimum; 2-year degree is preferred 3+ years of work experience in purchasing/procurement Experience managing a small team Experience purchasing in a distribution or dealership environment is preferred Strong attention to detail and high level accuracy Very strong computer skills, especially Excel and Outlook (experience with Microsoft Dynamics NAV or Business Central ERP system is a plus) Ability to communicate effectively, both verbally and in writing Excellent mathematical reasoning and logic skills Good judgment and decision-making Positive attitude and good teamwork Good understanding of standard warehousing & inventory control practices such as cycle counts, bins, will-call, stocking levels, etc
