Procurement Manager Mission The Procurement & Cost Control Manager will be responsible for actively managing food costs by understanding usage, optimizing our supply chain, leading negotiations, and working cross-functionally to ensure best-in-class financial performance. Unlike a restaurant, Fitlife Foods operates with multiple distribution channels, requiring a data-driven approach to procurement and food cost management. This individual must have expertise in supply chain, procurement, financial reporting, and vendor relations, leveraging insights to drive optimal decision-making. This position is hands-on. The key to success will be the ability to collaborate with senior leadership on Fitlife’s overall business goals and translate, drive, and implement these goals throughout Fitlife’s purchasing and supply chain.

KEY INITIATIVES & RESPONSIBILITIES

Procurement & Vendor Management Establish and maintain strong relationships with suppliers, distributors, and Group Purchasing Organizations (GPOs) to secure competitive pricing and strategic supply chain partnerships. Proactively negotiate agreements with suppliers, ensuring the best possible terms for quality, cost, and consistency. Conduct regular supplier performance reviews to ensure compliance with quality and cost standards. Develop and maintain a supplier scorecard to track and evaluate supplier performance. Continuously evaluate other potential suppliers to drive cost efficiency, maintain quality standards, and mitigate risk. Food Cost Control & Analysis Monitor and manage theoretical vs. actual food costs, identifying and addressing variances before they become a problem. Create and implement leading indicator tracking to address trends in food costs proactively. Develop and execute cost-reduction strategies without compromising quality, customer experience, or operational efficiency. Oversee inventory management, ensuring proper forecasting, purchasing, and stock rotation to minimize waste. Partner with operations and culinary teams to analyze and adjust recipe cost structures to maintain margin goals. Financial Reporting & Collaboration Work closely with accounting and finance teams to establish clear and accurate food cost reporting. Lead weekly and monthly reporting updates on food cost trends, procurement savings, and vendor performance. Collaborate with the culinary, production, and operations teams to align purchasing decisions with business strategy and financial goals. Assist in budgeting and forecasting for food costs, ensuring alignment with company growth objectives. Operational Strategy & Process Improvement Identify and implement new procurement strategies to drive efficiency and scalability. Evaluate and improve ordering systems, supplier performance metrics, and contract management processes. Support new product development by sourcing cost-effective, high-quality ingredients that align with Fitlife Foods’ brand and mission. Actively collaborate with the product, culinary operations, and executive chef during new product launches to bring new meals to life through the supply chain. Oversight of the Receiving/Warehouse team. Qualifications Bachelor’s degree in accounting, finance, business, supply chain management, or related field required or equivalent work experience in food procurement, supply chain management, or cost control within a multi-unit foodservice, meal production, or food manufacturing environment. 5-8 years of experience in food procurement, supply chain management, or food cost control within a multi-unit food service, meal production, or food manufacturing environment is required. Proven expertise in cost control and margin optimization, with a track record of successfully managing and reducing food costs. Strong financial and analytical acumen, including experience calculating theoretical vs. actual food costs. Strong knowledge of supply chain management, vendor negotiation, and procurement strategies. Strong positive cross-functional communication skills. Practices radical candor by challenging directly and caring deeply. Experience working with GPOs and vendor contract negotiation. Proficiency in inventory management software and financial modeling tools. Ability to work cross-functionally with operations, finance, culinary, and leadership teams. Strong leadership, negotiation, and problem-solving skills. Excellent communication and interpersonal skills. Ability to work in a fast-paced, dynamic environment.
