We are seeking an experienced Equipment Status Memorandum (ESM) Coordinator with a strong background in expediting, vendor coordination, and supply chain management for industrial equipment in the Chemical, FMCG, Pharmaceutical, Oil & Gas, or Manufacturing industries. The ideal candidate will be responsible for tracking and expediting the status of critical mechanical and piping equipment, ensuring on-time delivery, documentation accuracy, and seamless coordination between vendors, procurement teams, and project execution teams. This role requires technical expertise in rotating and static equipment, supply chain processes, vendor management, and construction site coordination to minimize project delays and optimize delivery schedules.
Key Responsibilities:
1. Equipment Expediting & Status Tracking
- Maintain and update the Equipment Status Memorandum (ESM), ensuring real-time tracking of manufacturing, inspection, testing, shipment, and site delivery.
- Follow up with vendors, fabricators, and suppliers to ensure timely progress of manufacturing and delivery schedules.
- Identify potential delays, bottlenecks, and supply chain risks, and implement corrective actions to keep the project on schedule.
- Coordinate with logistics teams to track shipments, customs clearance, and warehouse/storage status. 2. Vendor Coordination & Procurement Support
- Work closely with vendors, procurement teams, and engineering teams to ensure seamless execution of purchase orders and contracts.
- Conduct regular vendor performance reviews, ensuring adherence to technical specifications, contractual obligations, and quality standards.
- Expedite the resolution of technical queries, non-conformance reports (NCRs), and deviations during equipment manufacturing.
- Review and verify vendor documents, data books, material test certificates, and inspection reports for compliance. 3. Site Support & Construction Coordination
- Coordinate with construction and site teams to ensure equipment delivery aligns with the installation schedule.
