The Operations Specialist – Licensure’s primary responsibility is to process academic verification requests for learners and alumni seeking professional licensure through a state board or agency, reporting to the Associate Manager, Academic & Faculty Affairs. This individual provides coordination of the academic verification process which involves direct interaction with state licensure boards, learners, and/or alumni. This role involves materials processing including database referencing, administering of the university seal, mailing, scanning, emailing, and record keeping.
Additionally, this role will provide training support to the enrollment services and advising departments. This work requires understanding university policy, program requirements, and conducting research within multiple platforms such as Sales Force and Campus Solutions. It entails cross-functional engagement with staff in advising, enrollment services, learner affairs, financial aid, learner accounts, school leadership, the registrar’s office, and the legal department to discover options and appropriate resolutions to various learner requests.
Essential Duties & Responsibilities:
Serve as the Educational Certification Officer and the University attestation signatory.
Facilitate requests for academic verification including the preparation of verification materials for signature attestation within deadline/SLA.
Maintain academic verification letter templates and forms, manage and track request cases in SalesForce, manage multiple email inboxes, and respond to staff and learner/alumni inquires.
Attend university meetings as a licensure subject matter expert. Advise project stakeholders of regulatory compliance consideration and requirements to inform strategic initiatives.
Conduct research, collect data, and provide analysis and reporting to stakeholders and partners.
Maintain the academic verification manual, staff training materials, and the campus verification request form.
May provide support to cross-functional teams (SBL, ARO, etc.).
Other duties as assigned.

Proficient ability in the use of multiple software applications such as Excel, Outlook, Word, SharePoint, Salesforce, etc. Naturally inquisitive keeping an eye on process improvement, efficiency, and innovation. Work Experience:
3 years minimum experience in higher education operations.
Education:
Bachelor’s degree in business, education, or related fields required from an accredited institution. Master’s preferred.
Other:
Ability to work a hybrid schedule including both working from home and on-site. The selected applicant for this position will be required to work onsite and attend onsite or offsite meetings and events. When on site, typical office setting. Mobility within the office including movement from floor to floor. Access information using a computer. Must be able to work more than 40 hours per week when business needs warrant. Must be able to travel 0-10% of time. Travel via plane, car, and metro may be required to perform this job. Strong mental acuity. Effectively cope with stressful situations. Effectively communicate, both up and down the management chain.
