POSITION SUMMARY
The Engagement Specialist plays a key role in supporting the school-based program by managing patient documentation, scheduling assessments and sessions, and ensuring smooth communication between parents, guardians, clinicians, and school staff. This position involves maintaining detailed client records, coordinating outreach efforts, and collaborating with teams to ensure continuous program engagement and retention. The Engagement Specialist also helps expand program outreach by creating informational materials and fostering relationships with external resources for added support.
Rate:
$20 EDUCATION
AND EXPERIENCE/QUALIFICATIONS
High School diploma and one year of progressively responsible work experience is required. Experience with Microsoft Office products, including Excel, other software programs, and office equipment such as fax, copiers, and scanners required.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Create and maintain patient charts, including demographics and insurance information. Prepare and process patient forms such as Patient and Client Consent, Financial Agreements, Notices of Privacy, Acknowledgement of Receipt, and Authorization to Disclose and Obtain. Upload patient documentation, including referral forms, guardianship paperwork, OHIOs, legal documents, insurance IDs, etc. Create and maintain Microsoft Excel spreadsheets for school and clinician client management, including client, school, clinician data, contact notes, progress updates, and demographics. Document all patient encounters, outreach efforts, or contact using NextGen EHR. Format spreadsheets to include pertinent client data as well as data required for tracking purposes. Regularly review/update clinicians’ rosters and spreadsheets with new referrals and client assignments. Utilize shared cloud-based spreadsheets to enable real-time collaboration among Engagement Specialists, Director, and Supervisors. Contact parents/guardians to schedule initial assessments, explain the program and its procedures, and ensure their attendance at the initial assessment. Send out Phreesia links, make outreach call to parent/guardian the day before the intake to confirm, send out emails to schools with information regarding receipt of referral, scheduled intake date, and room request for intake clinician. Provide assistance to clinicians, when requested, to schedule family sessions. Contact parent/guardian to reschedule intakes and family sessions when clinicians are absent. Provide appointment reminders to patients and families. Develop and distribute information packages for clinicians and schools to expand program outreach and attract new referrals. Update and maintain the digitized online resource binder. Monitor the program email inbox for incoming referrals for each school. Work with clinicians and management to retain patient and family involvement in the program through consistent outreach and communication. Collaborate closely with clinicians assigned to each school via Microsoft Teams, maintaining daily communication to address upcoming issues, coordinate schedules, and meet immediate needs effectively. Attend team and staff meetings at various locations, including other Wheeler sites, participating schools, and virtual settings. Provide clients, parents, and/or guardians with community resources and tailored support based on individual needs. Maintain a list of wait times for programs, both internally and externally, and contact information for such programs. Continues to develop knowledge and understanding about the history, traditions, values, family systems, and artistic expression of groups served as well as uses appropriate methodological approaches, skills, and techniques that reflect an understanding of culture.
