Biofuels:
Program Coordination & Administrative Support:

Support the implementation and tracking of certification and compliance programs in the biofuels sector. Maintain accurate records and documentation in alignment with industry standards and internal protocols. Coordinate with internal departments to gather required documentation, updates, and status reports. Coordinating daily operations of biofuels programs, including scheduling, tracking milestones, and reporting progress. Assist in preparing and updating client-related documents, reports, and project timelines. Ensure timely data entry and recordkeeping within program tracking systems and databases. Assist with the development and submission of proposals, reports, and documentation related to initiatives in the biofuels sector Perform administrative tasks related to program budgeting, invoicing and procurement

Client Communication:

Serve as a point of contact for clients regarding documentation requests, scheduling, and general inquiries. Respond to client questions in a timely and professional manner. Follow up with clients to collect outstanding documentation or approvals as needed. Ensure a smooth client experience by supporting efficient communication between clients and technical teams.

Compliance and Documentation:

Review submitted documents for accuracy and completeness. Ensure proper archiving and version control of program documentation. Stay up to date with regulatory and procedural changes relevant to biofuels certification and compliance services. Monitor compliance with local, national and international regulations

Reporting and Data Management:

Assist in compiling program metrics, status updates, and performance indicators for internal and client reporting. Support the creation of monthly or quarterly program reports. Maintain and update Excel trackers, internal databases, and CRM tools.

Internal Collaboration:
  • Collaborate with program managers, Program Coordinator
  • Biofuelss, and technical staff to coordinate service delivery and resolve operational issues. Participate in internal meetings, taking notes and following up on action items as needed. Suggest process improvements to increase efficiency and accuracy in program coordination. None

Attend virtual team meetings, training sessions, or knowledge-sharing events to stay informed about industry trends and company updates. Perform other related duties assigned to support the team’s operational goals. Minimum Requirements for the Program Coordinator

Biofuels:

Associate’s Business Administration, or a related field. 1-3 years of experience in administrative support, project coordination, or compliance-related roles (preferably in biofuels, sustainability, or environmental services) Ability to work under pressure and manage multiple tasks with tight deadlines. Strong organizational and time management skills. Attention to detail and commitment to data accuracy. Proficiency in Microsoft Office Suite (especially Excel, Word, Outlook). Ability to manage multiple tasks and prioritize in a fast-paced environment. Familiarity with biofuels industry practices, sustainability certifications and environmental regulations. Detail-oriented and organized, with the ability to prioritize tasks across multiple projects based on Control Union and client needs Excellent communication skills, both written and oral. Comfortable speaking and working with new people across management level. The ability to work independently until tasks are completed for stretches and collaborate with a diverse group of Control Union staff and customers. Strong communication abilities and demonstrated abilities in critical analysis preferred. Preferred Requirements for the Program Coordinator

  • Biofuels:

    Experience working with certification bodies, environmental services, or renewable energy programs. Familiarity with Experience using ERP, CRM, or workflow platforms (e.g., Salesforce, Microsoft Dynamics, Monday.com, or similar). Minimum level of Training for the Program Coordinator

  • Biofuels:

    Basic understanding of supply chain processes and environmental compliance. Proficiency in data entry, documentation control, and report preparation. Familiarity with project coordination or administrative support best practices. Preferred level of Training for the Program Coordinator
