Position Overview:
The operations coordinator, jobs and programs isresponsible for providing operational support to the local jobs andprograms teams. They work to ensure that all contractual agreementsfor the local jobs program are properly executed, tracked, andreported with the funding agencies. They serve as the point ofcontact for all contractors, manage all timelines for reporting tocontractors with the employment consultants in the local program,ensure program operation compliance. They work closely with Jobs,Transitions and Program staff and support local program advancementby managing the adult friendship program, playing a key role in theplanning and execution of the annual Leadership Conference, andensuring accurate programs data. Job Qualifications Bachelor’sdegree or minimum 4 years relevant experience Strong project/timemanagement skills – including planning, analysis, attention todetail, and problem solving – and willingness to multitask Strongpresentation, facilitation, and written communication skillsProficiency with Microsoft Office, especially Excel, and basicunderstanding of accounting principals Experience with Salesforceis not a requirement but highly desirable Collaborate effectivelywith team members, provide clear and consistent communication.
Initiative, dependability, drive for results, and self-assessmentskills Must be adaptable and able to develop and balance multiplerelationships, and get results from a variety of people quickly andeffectively Must be comfortable engaging with people withintellectual and developmental disabilities (IDD) and working withthem in a supporting role Must be comfortable with frequent localtravel, use personal cell phone, and work evenings and weekends asnecessary in order to accomplish job responsibilities Stronginitiative, drive for results, and self-assessment skills Abilityto work independently and as part of a team Employment may becontingent upon accreditation by governing state agency Access toan automobile with applicable insurance Job Duties include, but arenot limited to: Operations Oversees contractual agreements with APDand/or Vocational Rehabilitation, managing training, fileorganization, and billing timelines, while collaborating with thesupervisor to ensure accurate and timely completion of all billingand reporting to optimize funding Serves as the primary contact andcommunication point with all contractors Tracks and reviewsauthorizations and documentation for program eligibility; assessinitial fit and follow up on missing or incomplete documentationExecutes timely follow-ups (via email and phone) regarding pendingauthorizations, incorrect portal information, and unpaid invoicesProvides BBI grants team and state development staff with updatedand accurate information for use in proposals and reports, as wellas updates regarding the status of outgoing proposals and incomingaward notifications May assist in staff travel booking through thecorporate travel agent for work-related trips Collects personnelactivity reports from all state staff and submits to BBI contractsmanager Maintains online databases, including Vocational Rehabbilling system, SetWorks, and Salesforce (Best Buddies Online)Tracks, processes, and provides coding for accounts payable andaccounts receivable transactions Monitors financial benchmarks withprograms staff to ensure financial stability of program, andassists with monthly financial projections Supports Jobs team withCARF accreditation operations and/or any external (VR) or internal(Setworks/Salesforce) audits Tracks and maintains records of annualtraining requirements for all staff statewide. Programs Conductsreviews of case files for statewide jobs staff to ensure completionDevelops relationships in the community and government agencies toidentify potential participants and obtain participant referralsManages applications for the adult friendship program statewide,assisting with application intake, screening, and follow-up, whileregularly communicating with statewide Programs staff Reviewse-Buddies reports and provides information to State/AreaDirector(s) Monitors the Best Buddies Online system and providesupdates to supervisors and program managers as appropriateCommunicates between programs, development, and operations staff toensure that programmatic goals are understood and met, and allrelevant staff are aware of required programmatic outcomes for allgovernment and foundation contracts Assists with uploading papermembership applications into Salesforce throughout the school yearReceives and processes information requests from state website,social media, and email to ensure they receive appropriate andtimely responses Manages all operations related to the annual
BestBuddies Leadership Conference:
tracks registrations andaccommodations, manages travel for all program participants andstaff, orders necessary supplies in a timely manner, organizeshourly staff timecards and roles, and assists with on-the-groundoperations for the entirety of the conference Attends trainings asneeded to maintain required certifications per state regulatingagency Fund Development and Marketing Works with supervisor(s) onfundraising events as directed Provides information regardingpotential donors/supporters to supervisor(s) as appropriate Managescommunications for local jobs program, including social mediaManages story collection and uploading to state website Maintainsmaster file for Advisory Board, Rose Society, and other majorsupporters for use by staff and as attachments to grant andcontract proposals When appropriate, collects and submitsfoundation proposals with attachments Human Resources Assists withhiring/recruitment of Jobs and Programs staff, including postingpositions, screening resumes, and conducting interviews Assistswith training and onboarding of all staff in basic operations asdirected.
