Program Coordinator

REPORTS TO
Director of Resident Affairs SUMMARY:

The Program Coordinator is responsible for assisting in the day-to-day administrative operations of the program and serves as a key liaison between the residents, faculty, and Director of Resident of Affairs.

DUTIES AND RESPONSIBILITIES

Assist in the coordination and performance of administrative duties related to support of the residents, including enforcing academic policies and procedures as directed by Director of Resident Affairs. Maintain/audit resident academic files under the direction of the Director of Resident Affairs. Process, approve, or deny leave requests for all residents in both offices. Manage clock-in/out auditing weekly and follow up with residents not in compliance with the attendance policy. Assist in the planning and coordination of trainee orientations, including boot camp, orientation, OSHA, HIPAA and CPR trainings and other trainings to stay in compliance with federal regulations. Serve as the first point of contact for resident issues/concerns; responsible for timely escalation and documentation to Director of Resident Affairs as needed. Meet weekly with Chief Residents on resident issues, the clinic rotations, on-call rotations, or other resident concerns. Assist in the planning and organization of resident meetings. Perform routine audits annually for each resident class to ensure compliance. Track and review invoices; prepare weekly expense reports to send to accounting department for payment. Track resident travel and reimbursement for professional events; send reports to accounting for resident expense reimbursement. Coordinate or assign, weekly, a resident responsible for tracking supply/inventory requests of all other residents for the Gwinnett office Organize and manage various virtual learning and digital platforms within CRM Academics and faculty. Maintain records for the program including, but not limited to, schedules, evaluations, curriculum, application documents and grades. Assist with the preparation of the program for accreditation site visits as directed by Director of Resident Affairs. Report on program information as requested. Performs other related duties as assigned by management.

SUPERVISORY RESPONSIBILITIES

This role has no supervisory responsibilities.

QUALIFICATIONS

Bachelor’s Degree (BA) from four-year college or university, and two years of related experience and/or training, or equivalent combination of education and experience.

Computer skills preferred:

Microsoft Dynamics, Outlook and Excel

PHYSICAL DEMANDS AND WORK ENVIRONMENT

Frequently required to sit and utilize hand and finger dexterity. Continually required to talk or hear. Occasional exposure to bloodborne and airborne pathogens or infectious materials. While performing the duties of this job, the noise level in the work environment is usually moderate. The employee must occasionally lift and /or move 5-10 pounds. Specific vision abilities required by this job include Close vision; Distance vision; Depth perception and ability to adjust focus.
