GENERAL SUMMARY
The Group Services Coordinator (GSC) is responsible for helping to create and support group activities. The Group Services Coordinator will work directly with the Resident Services Coordinators (RSC), Director of Resident Services (RSD), and Program Staff on programs, events, and activities with residents. They will be responsible for adhering to 2Life Communities and Program’s mission and philosophy and help maintain quality programs for residents and community participants. The GSC will have a somewhat flexible schedule to oversee programs and activities when residents are involved in each group and activity.
ESSENTIAL JOB FUNCTIONS
Schedule, advertise, supervise, and promote activities and programming for building and community events. Create and maintain hybrid/Zoom programming. Interview and network to identify entertainers and speakers. Identify and coordinate cultural, educational, wellness, and social programs. Plan and coordinate at all holiday parties, summer barbecue, birthday celebrations, coffees, teas, brunches, volunteer parties, assist Fitness & Wellness staff with flu clinic and other wellness-related programs. Plan, coordinate and execute large-scale events including but not limited to Memorial Gatherings, Passover Seder, Rosh Hashanah lunch, Chinese New Year, Victory Day, Autumn Moon, Thanksgiving, and any other holiday/meal celebrations. Coordinate with Dining Services Director on events involving food. Produce informative, visually engaging flyers for programs and other notices and signs as needed. Obtain translations and distribute. Maintain all program calendaring, including bulletin boards and other locations for flyers, announcements, and community information. Regularly update electronic boards with pertinent resident information. Prepare menus, buy and prepare food and refreshments, coordinate help with other staff, set up for programs, clean up after the program. Empower and support residents to organize and run programs, ensuring adherence to 2Life Communities policies Coordinate annual art show and resident artist galleries. Oversee card and board game schedules. Coordinate political presentations, voter registration, and transportation support for voting on election day if necessary. Coordinate and support transportation for shopping and special events. Work with Fund Development and Marketing Department on events, appeals, grants, photo ops, and our internal TV station with programming; produce site-specific 2Life TV channel programming, including informational segments from Executive Director and Maintenance. Partner with Community Engagement team for outreach and Village Center programs. Take photos for internal publication and publish them on The Source. (2Life employee intranet) Maintain photo directory of residents. Participate as a member of the IT resource group and keep Source site pages up to date and active. Help identify needed volunteers and supervise front desk volunteers. Produce weekly newsletter. Collect and enter attendance data, volunteer data, and other information into various spreadsheets and databases as directed Assist RSD to plan annual department budget for program needs. Additional responsibilities as assigned, particularly those related to the Opus campus. Evening and weekend availability required to provide support for events and programs as needed.
PREPARATION, KNOWLEDGE, SKILLS & ABILITIES
Baccalaureate Degree, with a concentration in a Human Service related field or Communications. High level of computer literacy to include Google. Experience and ability to learn Salesforce, Google Docs/Sheets, The Source. Must have excellent communication skills, both oral and written. Must have excellent interpersonal skills with the ability to work well with older adults and with all levels of housing and community agency staff. Excellent organizational skills. Ability to manage time effectively and work independently. Must also have good problem-solving skills, a collaborative style, and the ability to work well within a team. Fluent in English, spoken and written. Fluency in Russian &/or Mandarin and Cantonese desired.
