Contributes to the efficient Masis operations by performing their duties accurately and on time. Role and Responsibilities
- Coordinate day-to-day needs through utilizing a Vendor Management System (VMS) to manage job requisitions, candidate submissions, and compliance tracking, as required.
- Support Account Managers by maintaining visibility on open and closed job orders, ensuring timely follow-up and action on priority roles.
- Utilize Applicant Tracking System (ATS) and CRM platforms to manage candidate profiles, status updates, communications, and documentation. Ensures each system is fully up to date and maintained with attention to detail.
- Ensure compliance policies are followed as outlined in the agreement with the client, as well as other client-specific requirements regarding hiring and onboarding by verifying and maintaining all necessary employment documents in accordance with Masis policy, State and Federal laws.
- Monitor and process candidate status changes, including withdrawals, rejections, onboard progression, and assignment updates.
- Prepare and deliver regular reports on candidate submissions, interviews, and hire metrics for internal and external leadership.
- Serve as a liaison between the account manager, onsite coordinators, office staff and client to ensure accurate communication and processes are adhered to.
- Works in conjunction with the payroll team to track payroll and attendance data, reconciling discrepancies and ensuring timesheet accuracy for Masis employees.
- Assist in onboarding coordination, including scheduling orientations, sending welcome information, and ensure system access is granted.
- Maintain strict level of confidentiality and adherence to company policy while interacting with candidates, clients and Masis employees.
- Commit to meeting or exciding performance goals set up by the executive team and safety standard goals established by the Risk Department.
- Implement standards, procedures, and controls to improve data entry efficiency, accuracy, and performance.
- Develop creative recruiting strategies to bring valuable candidates to the pool.
- Communicate efficiently with Operations, Sales, HR, RISK and leadership as necessary.
- Performs other duties as requested . Qualifications and Education Requirements
- High school degree (College Degree preferred)
- 3 years of administration and clerical experience.
- Proficiency in multiple computer software applications is necessary.
- Bilingual preferred but not required.
