To this end, HTCNJ provides free medical care and related services to children born with complex medical diagnoses and developmental disabilities. Established in 1981, we are a small nonprofit doing big things. We run three unique programs serving low-income kids locally and globally: Medical Teams Abroad, International Inbound and Brighter Futures NJ. To date, HTCNJ has impacted the lives of over 40,000 children. We have an opportunity for a Program Coordinator for our Medical Teams Abroad Program. Through our Medical Teams Abroad Program, teams of 20 medical volunteers travel to developing countries (Dominican Republic, Ecuador, Peru) with all equipment and supplies needed to sustain one week of pediatric surgeries at our partner hospitals. The Program Coordinator is responsible for all logistical needs and administrative tasks associated with each phase of our surgical mission trips: pre-mission planning and volunteer recruitment, mission execution and post-mission reporting. Reporting to the Executive Director, the Program Coordinator works closely with experienced lead volunteers (the Director of Medical Supplies and Directors of Anesthesia Supplies), as well as trip volunteers, international host partners, consulates, medical suppliers, humanitarian supply partners, travel agents and transportation companies. The Program Coordinator handles the logistical needs, supply coordination, volunteer recruitment, paperwork preparation and administrative procedures for all aspects of each trip. The ideal candidate will be a detail-oriented, organized and responsible person who is a team player. The Program Coordinator will have additional opportunities within our small nonprofit to support our fundraising, marketing, event planning and office administrative tasks. Duties Maintain organized timeline and workflow for administrative tasks associated with each surgical mission trip. Maintain correspondence with international host partners regarding all in-country logistics (Ministry of Health and Customs paperwork, lodging, meals, ground transportation, etc.), volunteers, consulates, travel agency, US ground transportation, and medical clearing houses (supply donations), among others. Coordinate volunteer recruitment process for each trip (sending emails, maintaining volunteer records, assigning volunteer roles and collecting necessary credentials, licenses, and recommendation letters). Work with travel agent to secure group airline rates and trip cancellation insurance; insure the team with medical liability insurance and Medevac through vendor; secure cargo insurance etc. Prepare trip binder documenting all country specific paperwork, trip logistics, supply packing lists, forms, schedules and volunteer documents. Order medical supplies and equipment needed for each trip under the guidance of our lead volunteers (the Director of Medical Supplies and Directors of Anesthesia Supplies). Prepare detailed packing lists for each suitcase transporting medical supplies and equipment. Pack the trip administrator bag and clinic bag. Monitor trip outcomes and evaluate success through post-trip evaluations provided to team members. Maintain accurate administrative records related to program activities, budgets and post-trip reporting. Participate on quarterly evening Zoom calls with Medical Teams Abroad Committee volunteers and Board members. Requirements Excellent organizational skills with the ability to multitask and prioritize effectively. Experience with Microsoft Office (Word, Excel, Outlook). A passion for humanitarian-relief type work is a plus. Ability to communicate in Spanish is a plus. Medical experience and/or knowledge is a plus. Light physical work required. Perform other responsibilities as requested.
