Transportation Program CoordinatorPosition Purpose:
The purpose of this position is to perform administrative and organizational worksupporting the operations and programs of the Council on Aging Department. Performsall other related work as required.
Weekly Hours:
Year round, 24-40 hours per week.

Performs varied and responsible duties requiring a thoroughknowledge of departmental operations and the exercise of judgment and initiative toindependently perform duties, complete assigned tasks, and analyze the facts orcircumstances surrounding individual problems.
Supervision Received:
Work is performed under the general supervision of the Council on Aging Director.
Generally, establish your own work plan and completes work in accordance withestablished department policies and standards. Performs varied and responsible dutiesrequiring independent judgment.
Job Environment:
Work is performed in a typical office condition, with interruptions to respond to requestsfor service.
Operates a computer, facsimile machine, copier, calculator, computer, and otherstandard office equipment.
Have frequent contact with the public, seniors, volunteers, service providers, vendorsand county officials. Contacts are in person and by telephone as well as in writing andinvolve an information exchange dialogue.
Has access to department-related confidential information, including personalinformation about clients.
Essential Functions:

This entails phone contact for theinitial transport request, checking the schedule for transport and driver availability andreturn call to deny or approve transportation request. Locates directions for medicalfacility if necessary and prepares trip sheet and weekly trip log for drivers.
Transport needs occasionally require follow up for possible additional outreachservices, which may be facilitated from the Transportation Coordinator in conferencewith the Council on Aging Director.
Works with transit drivers which may include daily interaction with drivers in regard tothe client’s needs and background information on new transports from the clientassessment sheet. Possible aid with directions to medical facilities. Maintains drivertimesheets and prepares payroll for the accounting office.
Schedules driver training and ensures that all driver requirements (i.e. mandatorytraining, physician and vision required forms) are met. Schedules driver training whennecessary and conducts driver staff meetings quarterly.
Responds to incoming calls, emails and office visitors for all Council on Aging programsand activities; provides general information to those who inquire and makes referrals tothe Council on Aging Director as appropriate while carefully maintaining theconfidentiality of client information.
Screens possible volunteer drivers and volunteer aides to supplement the transportationprogram. Assists volunteers with required paperwork.
Maintains a current list of the vast array of resources from local, state, and federalagencies, including any social services available to elders, and coordinates theresources that may best serve the individuals.
Meets with clients on a scheduled or drop-in basis and identifies any service needs.
Makes referrals to appropriate agencies for services uch as fuel assistance, homedelivered meals, housing assistance, etc. Maintains contact with clients to ensure theadequacy of assistance.
Develops and maintains relationships with area agencies; and works creatively withthem to serve Allendale County elders.
Takes appropriate measures to ensure client privacy and self-determination and toadhere to confidentiality policies and practices.
Prepares and files a variety of mandatory reports to include reports to: LowocountryRegional Transportation Authority as a result of funding provided and grantrequirements for transportation services and equipment.
Transportation, donation and mileage reports are also generated regularly as requiredfor reports to Council on Aging Director and the requisite agencies.
Data entry of client participation and develop demographic information that will behelpful in agency planning.
Maintains vehicle records and works in conjunction with the Allendale County vehiclemaintenance staff to schedule service and inspection of vehicles. Maintai
