Job Description

Robotics Program Coordinator (FT) – Seacoast 3.7 3.7 out of 5 stars Little River, SC 29566 Robotic Coordinator is responsible for planning, directing, and coordinating the Robotic Program operations within the Operating Room. Maintains a professional image and exhibits excellent customer relations to patients, visitors, physicians, and co-workers in accordance with our Service Excellence Standards and Core Values. Fosters an environment that demonstrates caring, compassion, and respect for patients, families, visitors, surgeons, and co-workers. Ability to act as a positive role model, servant leader, team player, supporter and collaborator to Robotic team members and other staff members. Responsible for clear communication with physicians, physician’s office staff, advanced care professionals, vendors, and other relevant departments. Fosters interdepartmental and collaborative relationships with other leaders, vendors, and companies. Reviews scheduled Robotic procedures ahead of time. Evaluates and coordinates daily equipment and supply needs, collaborates with Surgical Services Clinical Coordinator on staffing assignments, service line issues, and service line needs. Reviews Doctor Preference Cards for errors, makes modifications and ensures appropriate supplies/needs are noted. Ensures equipment needs are handled prior to day of surgery and that all supplies are available and ready for cases. Ensures equipment is in working order, good condition, and present when needed. Responsible for ordering and maintaining inventory of daVinci accessories, equipment, instruments, and ancillary supplies needed for robotic surgery. Arranges for needed equipment, equipment maintenance, equipment repairs when needed. Manages Simulator and maintains staff and surgeon simulator/training paperwork, proctor evaluation sheets, and other surgeon specific paperwork. Fosters a collaborative working relationship with OR and Central Sterile Processing leadership, OR Educator, and vendor to educate staff with the latest trends and up to date information regarding Robotics, cleaning and sterilization of instruments and accessories, maintenance of staff development and skills, and implementing staff development programs as needed for the robotic service line. Educates staff on new equipment and procedures, and provides in-services and educational opportunities. Performs clinical troubleshooting of the daVinci Robot as needed. Trains/educates the Robotic team on clinical troubleshooting of the daVinci Robot. Ensures prompt and continuous communication with vendors on products, product information, trials, in-services, and continuing education in conjunction with the Director and Educator. Knowledgeable about and able to access vendor portal for case tracking, RMA for faulty arms, and surgeon/staff education information. Under the supervision of the Director, competently functions in a leadership role by creating a positive work flow, promoting positive customer satisfaction, mentoring staff, problem solving, managing issues and concerns to optimize the work environment and ensures compliance with: core measures, clinical effectiveness initiatives, never event reduction and improving patient outcomes as identified in, but not limited to the Operating Room.

Other duties include:

Evaluates the activities of Robotic team members Identifies and implements process improvements in the robotic service line Identifies opportunities to grow the robotic service line Decisions based on technological demands, staff member competency, skill mix, and practice standards Assists with developing priorities, goals, and action plans for the robotic service line Performs observations/audits on Robotic cases Assists with Employee orientation, evaluations, and performance improvement plans for all robotic staff team members Integrates cost effective measures into practice, suggests cost saving initiatives, and tracks improvements Shall demonstrate leadership and commitment with respect to the quality management system by: Promoting the use of the process approach and risk-based thinking Engaging, directing and supporting persons to contribute to the effectiveness of the quality management system requirements Provides functional direction to the members of the robotic team while optimizing resources to achieve quality patient outcomes Takes part in and provides information to staff, surgeons, and Robotic Steering Committee in regards to Root Cause Analysis and Infection Prevention efforts. Trends data for issues, complications, returns to surgery, readmissions, and institutes improvements based on data. Contributes to the Operating Room’s growth and performance through hospital-system initiatives. Demonstrates continued professional growth through participation in educational programs, reviews current literature, attends in-services and workshops. Ensures compliance with established surgical standards, policies and specific standards of care, coordinating patient care activities for assigned shift. Continually assesses the clinical environment of the Robotic service line to identify performance improvement opportunities. Under the supervision of the Director, works with the Robotic Surgeons on the following: Prepare and Plan for Scheduled cases

Metrics:

First Case On Time Starts (FCOTS), Turn Over Time (TOT), Physician Turn Around Time (PTAT), and Block Utilization Point person for issues, needs, complaints Provides info on daVinci Training & Education updates Resolves Issues Doctor Preference Card creation, modification, removal Cost savings initiatives Input from Surgeons on Robot staff evaluations – clinical competencies, education/training needs, team growth Data – Cost per case, length of stay, complications, conversions to Lap/Open, return to surgery/readmission Recognition of Preceptors, sets up training & education with vendor Provides Credentialing and Privileging packet to new surgeons, works with surgeon on completion of paperwork, collects and presents paperwork to Robotic Steering Committee along with tracking Simulator paperwork, proctor evaluations, and post-proctor case reviews. Prepares Operating Room for patient and procedure; Positions and prepares the patient for the surgical procedure on the Operating Room table; Maintains the surgical count for the procedure; etc. Uses standard precautions and appropriate personal protective equipment when working around or handling hazardous substances, including blood or bodily fluids. Participates in managing fiscal responsibility of the Robot – ensures maintenance is completed, reduces repairs, tracks issues, enters RMA for returned items. Participates in cost containment, supply cost reduction, and cost savings initiatives. Demonstrates ability to act as a clinical role model to other staff members regarding appropriate patient care and use of specialized equipment. Functions in a leadership role by creating a positive work flow, problem solving, promoting positive customer satisfaction, and mentoring staff. Training:

Minimum 5 years of RN or Certified Surgical Technologist experience in Surgical Services; 3-5 years of robotic experience required; previous leadership responsibility preferred.

Licenses/Certifications/Registrations/Education:

Must possess a valid SC RN license or certification through the National Board of Surgical Technology and Surgical Assisting (NBSTSA) BLS required RN – Must possess, or obtain within 6 months of hire or in the role, Advanced Resuscitative Certification appropriate to their patient population.
