The Program Coordinator is a full-time 12-month position and is responsible for the day-to-day operation and services for the McNair Scholars Program. The McNair Program provides services and activities for first generation, low-income, and underrepresented students to conduct scholarly research in preparation for success in graduate school. McNair works with eligible students from all disciplines, engages them in high-quality research, and prepares them for enrollment in graduate studies and attainment of master’s and/or doctoral degrees. This is a grant-funded position and continued employment is contingent upon funding.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Primary areas of responsibilities include, but are not limited to, manage program accounts; plan and conduct outreach, recruitment, and student development efforts; maintain detailed records on all student-and staff-related expenditures and activities; refer scholars to university services as needed; facilitate key educational activities; assist with scholar assessment and monitoring; maintain records relating to scholar eligibility, support services, and research activities; assist with program reporting; assist team members with campus-wide communication efforts to prospective and current students, administrators, and faculty.
Administrative Duties:
Be knowledgeable of grant programs’ goals, policies, and objectives.
Maintain scholar records as well as streamline record keeping processes as related to program objectives.
Possess ability to file and organize large amounts of data for reporting purposes.
Provide objective-based reports and provide data for director and USDOE for reporting purposes (i.e. APR).
Ability to multi-task and manage several ongoing projects.
Catalog travel request, faculty mentor agreements, research supplies, and other program documentation.
Assist with budgetary reports and program financial management (i.e. p-card reconciliation).
Plan and execute events in support of the program.
Student Engagement Activities:
Participate in monthly coaching meetings with assigned scholars.
Assist with identifying and recruiting prospective McNair scholars as needed.
Review all program applicants and actively participate in the interview and selection process.
Assist with McNair Banquet, McNair Summer Institute, McNair-Ledford Undergraduate Research Symposium, First-Generation Week, McNair Seminar courses, McNair Advisory Council meetings, faculty training sessions, scholar dinner, and other program-related events.
Plan and execute travel arrangements for students, staff, and faculty to various conferences, trainings, and graduate school visits.
Participate in national and regional conferences such as SAEOPP, MPPI, COE, and other academic events as needed.
Participate in graduate school visits alongside students and administrative trips to various universities.
Promote goodwill and quality customer service to students and effectively handle a variety of student situations.
QUALIFICATIONS
To perform this job successfully, an individual should have:
Project management experience and training in project management techniques.
Experience with academic advising or counseling undergraduate students.
Knowledge of the graduate school application process.
Strong communication and organizational skills.
Problem-solving and decision-making skills.
Experience planning workshops and student activities.
Experience in planning and executing travel arrangements.
Proficiency with Microsoft Office Suite.
EDUCATION and/or
EXPERIENCE
A minimum of a Master’s degree required in student personnel, public policy, counseling, psychology, student development, education, or related discipline.
PHYSICAL DEMANDS
This position requires travel to conferences and trainings with students, staff, and possibly faculty.
