Program Specialist – Special Events 3.9 3.9 out of 5 stars 1211 MEDICAL CENTER DRIVE, Nashville, TN 37232 The Program Specialist in the Special Events Unit is part of the Public Safety Department and is responsible for providing program support to the Special Events Unit at Vanderbilt University. Reporting directly to the Captain/Manager of Special Events, the Program Specialist provides program support services to VU Public Safety and other university departments, which includes special event planning, program support to VUPS (PowerDetails, and other software programs), stakeholder coordination, traffic mitigation oversight and support, event communication, logistics, and program finance/billing duties. This position will also assist the Captain/Manager of Special Events with other event-related program initiatives and assisting with the VUPS Emergency Operations Center during planned and unplanned activation. Work Unit:

Vanderbilt University Public Safety comes under the charge of the Office of the Senior Associate Vice Chancellor/Chief of Police for the Division of Administration. The Public Safety Department includes a staff of over 400 personnel. The Department is organized into several business units and employs commissioned officers, non-academy trained officers for security-related functions, and specialized- professional/administrative personnel. Duties and Responsibilities Administrator/Facilitator of the Vanderbilt Public Safety PowerDetails or similar platform: Coordinate the daily activities of the Vanderbilt Public Safety PowerDetails system. Coordinate with department stakeholders to list and track daily job assignments. Develop and conduct live/virtual training for Public Safety personnel on how to utilize the PowerDetails platform. Assist the Captain/Manager of the Special Events Division with event planning and coordination: Assist with event pre-planning and coordinate forecasted internal and external job assignments. Attend and coordinate planning meetings, as necessary. Coordinate logistical supplies and associated vendors for university events. Assist with the drafting and publishing of operational programing manuals. Assist the Captain/Manager with budget and financial operations: Assist with daily and monthly budget planning and tracking for special event operations and other shift operations. Maintain and track a budget for all special events-related costs. Assist the Captain/Manager with daily oversight of the traffic mitigation for campus and medical centers operations: Coordinate daily with the university traffic mitigation vendor. Coordinate with VU internal and external operations personnel for thoroughness and accountability in traffic mitigation assignments. Collaborate with vendor on traffic planning, permitting, and approved processes. Assist the Captain/Manager with other special events-related program initiatives: Maintain and coordinate special event equipment and supplies. Perform duties for Emergency Operations Center activation in accordance with

FEMA ICS

protocols. Assist with planned special events as directed by the Office of Emergency Management Must have the ability to respond to campus emergencies and assist with large scale special events during non-business hours including nights, weekends, and holidays. Supervisory Duties There are no direct supervisory duties. Qualifications High School Diploma, GED, or an equivalent combination of education, relevant military experience, and relevant skills, is required. Associate’s degree in related field is preferred. Valid driver’s license from the state of Tennessee or be eligible to obtain one and do so within 60 days of appointment is necessary. Must have and maintain a valid driver’s license and a satisfactory driving record. Vanderbilt University engages a third party to provide continuous up-to-date notifications regarding negative changes to motor vehicle records. Experience and Skills At least 5 years of related work experience in the events planning, law enforcement, traffic mitigation or management field is required. Experience requirement may be substituted with education on a year-to-year basis. Excellent verbal and written communication skills and being comfortable presenting to and collaborating with a variety of stakeholders across the university is necessary. Familiar with Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and others is necessary. Knowledge of web-based mobile phone applications management is preferred.
