Full Job Description Key Responsibilities:
Project Coordination
- Coordinate and manage scheduling and hours/time for field employees, contractors, and setup crews.
- Serve as the main point of contact for mobile home deliveries, installers, and setup teams.
- Communicate with the sales team to confirm readiness for delivery and installation.
- Schedule and confirm delivery dates, locations, and lot assignments in coordination with sales, manufacturer, lender, park manager, and regional manager.
- Maintain accurate and up-to-date scheduling, start & completion, location, and status spreadsheet Site & Build Management
- Schedule and confirm dates for setup crews to complete tasks such as decks, stairs, skirting, electrical, plumbing, and HVAC installation.
- Coordinate the delivery of materials for each site and ensure contractors have the necessary supplies to avoid project delays.
- Schedule exterior repair work as needed and ensure completion.

- Obtain and manage all required licenses, permits, and bonds for home installation.
- Coordinate state licensing for W-2 employees and subcontractors (e.g., electricians, plumbers).
- Collect and manage required documentation such as bonds, insurance, Letters of Responsibility (LORs), and notarized applications.
- Pull electrical, plumbing, and Certificate of Occupancy (CO) permits by working with each municipality. Vendor & Subcontractor Oversight
- Approve subcontractor invoices after verifying accuracy and completion of work.
- Schedule and submit warranty work to Clayton for reimbursement when necessary. Financial & Administrative Support
- Track and manage all required tasks to obtain setup reimbursements from banks.
- Ensure all paperwork is completed and submitted for reimbursement processes.
Qualifications:
- Proven experience in administrative coordination or construction project management preferred.
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Proficiency in spreadsheets, scheduling tools, and Rent Manager (will train on this program)
- Ability to manage multiple stakeholders and resolve conflicts.
