Position Summary
The Records Manager will report to the project director(s) and serve as personal assistant and manage the daily operations of the office. Continued employment is contingent upon funding. This position is not eligible for non-probationary status.

Essential Duties and Responsibilities
Serve as personal assistant to Project Director(s) and Project Coordinator(s) maintaining strict confidentiality when dealing with project participants and their records.
Organize and maintain files and records of documentation for the Upward Bound Office and review them for accuracy andpleteness. Enter accurate data into the BLUMENputerized database management system.
Compute and request monthly participant stipends.
Assist Project Director with the submission of the Upward Bound Annual Performance . Exhibit initiative to pursue tasks outside primary area as need dictates.
Serve as assistant for the office, receive visitors, taking and routing phone calls, setting up appointments and making requests for information or services.
Serve as liaison between Project Director(s), Project Coordinator(s), and high school On•Site Coordinators and Tutors.
Compose letters, memos, and generate a variety of reports as required.
Prepare agendas; record and transcribe minutes for assignedmittee meetings.
Maintain office supplies inventory and ensure office equipment is kept in working order. Serve as a member on variousmittees.
Attend college functions as required.
Assign duties to and supervise student workers.
Assist in planning and implementing special events, activities, and programs.
Assist with Upward Bound Project registration.
Perform secretarial and clerical tasks for the Upward Bound Project.
Maintain program fiscal records.
Assist the Project Director(s) and Project Coordinator(s) to the maximum extent feasible in attending to their respective duties.
Perform other program-related responsibilities as assigned by Project Director(s), Project Coordinator(s), the Associate Dean of Planning, Research, and Student Success, the Vice President of Instructional and Student Services, or President of Bevill State Community College.

MINIMUM EDUCATION and/or
EXPERIENCE
A minimum of an associate’s degree from an accredited institution in office management, accounting, business, or a business-related field is required. Bachelor’s degree is preferred.
A minimum of one (1) year of experience working in an office environment is required.
Proficiency inputer database management in order to generate reports for effective project management and for the U.S. Department of Education is preferred.
Preference given to those with TRIO working experience and a background similar to the target population.
