Job Summary:

The Finance and Administration Project Manager facilities effective operations in the division of finance and administration through division communications, team coordination and assistance as well as specific detailed tasks relating to building access controls. This position will be responsible for development of new procedures and tools to create transparency within all aspects of the finance and administration division, monitor and develop protocols for building access for both students and employees, as well as provide administrative support to Vice President of Finance and Administration as well as all departments within the division. This position reports directly to the Vice President of Finance and Administration and is governed by state and federal laws and institution policy.

Salary:

Annual salary of $37,000. Plus, excellent benefit package.

Supervisory Responsibilities:

Occasional supervision of extra help or student workers as deemed appropriate

Duties and Responsibilities:
  • Coordinate internal and external reports including documentation for Board of Trustees and external bodies.
  • Develop processes, input data and monitor consistently remote access control for all students and employees for each building.
  • Assist with organizational management of interdepartmental scheduling for projects, coordination between departments both within the division and across campus including follow on projects and status of work scheduled.
  • Assist with capital assets, improvements, depreciation and disposals, including documentation for assets added or disposals into campus database.
  • Monitors campus wide budget usage and levels and assure adequate levels are maintained and adequate including grants and auxiliary enterprises.
  • Develop spreadsheets, reports and chards in Excel for data tracking, analysis and presentations.
  • Facilitator for Administrative Affairs Council
  • Provide primary administrative point of contact for Administrative Procedures Manual (APM) as well as oversight for areas that need improvements and updates. Work within shared governance process to identify areas of concern.
  • Administrative support to Vice President of Finance and Administration in various reports and projects.
  • Support all Finance and Administrative departments as well as internal and external customers with requests and communication including development of tools and training as needed.
  • Assist with improvements in electronic file storage in various departments within the division.
  • Assist with project meetings and monitor timelines and project budgets
  • Other duties as assigned
Skills and Abilities:
  • Strong interpersonal and communication skills with the ability to engage diverse audiences and build rapport.
  • Proficiency with Microsoft Office products, including Excel Word, PowerPoint and Outlook
  • Excellent organization ability, strong attention to detail and high level of accuracy.
  • Able to prioritize and manage multiple tasks simultaneously and with minimal supervision.
  • Exhibits qualities essential to being a team player.
  • Committed to providing exceptional service to all staff, students, or other public entities.
  • Ability to work independently and under time constraints.
Required Education and Experience:

An associate degree from an accredited institution of higher education A minimum of three (3) years’ experience in administrative role or related position.

Preferred Education and Experience:

Bachelor’s degree in finance or administrative area

Physical Requirements:

Exerting up to 20-30 pounds occasionally. Occasional week or flexible hours maybe required or special events or circumstances.
