Full-Time Position Overview:

The Permit & Project Admin Coordinator plays a critical role in ensuring our pool projects stay on track from the very beginning. We are seeking a highly organized, detail oriented candidate. This position is responsible for handling all permitting tasks from start to finish, including coordinating with engineers, surveyors, and city departments. In addition to permitting, this role supports the operations team with key administrative responsibilities such as customer communication, material coordination, and internal documentation.

Key Responsibilities:

Permitting & Pre-Construction Coordination Schedule and coordinate all pre-construction requirements including site surveys, elevation certificates, soil testing, and any other needed reports. Work closely with engineers to gather and submit necessary documentation to initiate permit applications. Manage all communication and submissions to city permit departments to expedite approval timelines, via our customer portal and city department sites. Visit local building departments regularly — ranging from Boca Raton to Homestead, FL — to check on the status of permit applications and move projects forward. Monitor all active permit applications and follow up consistently to avoid delays. Coordinate all required inspections during and after construction in collaboration with field teams. Maintain accurate and organized permit records for each project. Administrative Support & Communication Assist with ordering materials and ensuring timely delivery to job sites. Communicate with customers to provide updates and request any required documentation. Support the team with various administrative duties including document preparation, tracking schedules, and organizing project information. Provide general support to the operations team to help keep projects running smoothly.

What We’re Looking For:

Bilingual (English/Spanish) – Spanish speaking is required Permitting experience is a MUST – especially in construction or related fields Excellent communication and follow-up abilities Comfortable navigating various management systems and updating content in real time Comfortable visiting local municipalities and coordinating in person Ability to work independently and as part of a team Strong organizational, multitasking skills and computer savy Can collaborate effectively and also take initiative without constant oversight Knowledge of pool or construction industry a plus Must learn and consistently use company software for real-time updates and task management Must be based in South Florida with access to reliable transportation If you’re highly organized, thrive on follow-through, and love the idea of helping build dream backyards, we’d love to hear from you!
