This role supports all the aspects of FAB’s operations: administration, finance, communications/marketing/PR, membership/donor engagement, and program management/special events. His or her specific areas of focus are finance and administration, grants, and special events. The Assistant works closely with the Director of Operations and board members to enhance the organization’s effectiveness and sustainability. As an at-will employee, the Project Coordinator reports to the Director of Operations and operates under the guidance of the Board President. Performance is evaluated annually by the Executive Committee and the Director of Operations, with established goals and metrics, and with input from the board members this position helps support.

Work Schedule:

Monday – Friday, 9:00 AM – 5:00 PM (EST), with flexibility for occasional evenings and weekends as needed. A workspace, desk, computer, and phone are provided at Art Serve. Regular office hours are expected to be conducted.

Administrative Support:

Assist the Director of Operations with scheduling meetings, timely filings of Florida’s Department of Agriculture Solicitation form and Florida’s Annual Report, as well as other business operations administrative tasks as needed. Update FAB’s Documents Center website page with annual Florida Solicitation Letter, and any other revised corporate documents. Coordinate board meeting and calendar management including scheduling, preparation and distribution of meeting materials in coordination with director and board president. Process and distribute daily mail to appropriate people. Financial Administration and Project Management Ensure accurate and timely membership and pledge invoicing, processing and recording donations, acknowledging donations, filing documents in the Finance Share File portal, and providing reports to the Treasurer. Manage invoices for memberships and campaigns, process donations and pledges, and ensure accurate financial reporting Notify appropriate volunteers of donors to special campaigns or programs. Include new donor names, contact information, and the amount of the donation. Maintain and share an up-to-date special campaign donor lists with volunteer chairs. Enter and track payments for events and provide reports to the Treasurer. Set up and maintain payment portals through on line system Update FAB’s Document Center website page as 990’s, Impact Reports, and Campaign reports are prepared. Prepare payment portal reports for Treasurer’s approval and make transfers to appropriate accounts Prepare ACH transfers for grant payments, cut checks, record credit card charges in QuickBooks, bank reconciliations, etc. Marketing, Communications & Public Relations Provide administrative support to execute the communications plan. Ensure regular website updates and maintenance Provide administrative support for direct mail, event invites, special reports, and grantee outreach. Assist special campaign initiatives with updates and messages to donors and members. Maintain FAB’s donor database, ensuring accuracy and relevance. Grant Administration and Project Management Support the Grant Chairs and their work overseeing FAB’s annual grant process. Collaborate with Grant Co-Chairs to prepare and maintain the annual grant calendar. Prepare and email application call to Arts Organizations Update Grant page on website Prepare Team Rosters and distribute o Schedule and manage grant interviews using Zoom and Google Calendar. Set up team emails for submittable Schedule and confirm locations for all meetings including Captains training, Screeners training, Final allocation meeting Track volunteer engagement within the database. Prepare screening packets for training Utilize Submittable to tag applications by team. Archive applications and materials from past years. Prepare program summaries for website and Grant event program Provide support to grant co-chairs and advisors as needed. Event Administration and Project Management Prepare responsive forms and payment links for events, track registrations, ensure payments have been received and provide the Treasurer and Programs Chair with reports. Assist the Director of Operations with preparations for the event, including coordinating logistics of the site, catering and technological needs Assist the Programs Chair with recruitment of volunteers for check in. Provide timely post-event list of prospective member attendees with FAB member contact name to Membership Chair and board chair Support logistical requirements for other member programs and gatherings. Additional Responsibilities The Administrative Assistant may take on special projects as determined by the Director of Operations or President. These projects will be incorporated into annual goals and expectations. Qualifications & Skills

  • Proven experience in maintaining databases, maximizing efficient processes, and preparing reports.
  • Experience with finance and accounts receivable work
  • Excellent organizational and project management skills with the ability to anticipate and plan ahead.
  • Ability to manage multiple priorities with attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft platforms, CRM databases, WordPress and accounting software.
  • Ability to work independently while collaborating effectively with committee chairs and board members.
