O&PM Assistant Planner Job Description The O&PM Assistant Planner is responsible for performing moderately complex technical assignments under limited supervision. This role provides direct support to O&PM Planners, Construction Supervisors, Project Managers, and Construction Manager positions. The position requires extensive knowledge of various computer programs, planning, scheduling of maintenance and project sequencing of work activities, construction and project management terminology, procedures, and processes. Additionally, the Assistant Planner designs and distributes related technical data reports and supports the development of project and construction scopes of work, including kickoffs, planning, estimating, bidding, evaluating, awarding, scheduling, cost control, and closing functions for contracted maintenance and project work activities for Energy Supply Power Stations. Responsibilities Monitor and manage inventory levels of office supplies, kitchen supplies, safety equipment, and radios. Create Facilities, Service One, and other work order requests. Initiate purchase requisitions as necessary through SAP, warehouse withdrawal, or P-card purchases. Perform administrative tasks for team members, such as coordinating meetings, developing agendas, preparing PowerPoints, managing outage communication phone lists and books, setting up conference rooms, maintaining communication systems, scheduling lunch and learns, organizing meetings, recording meeting minutes, coordinating vendor/contractor entries with plant guards, and setting up catering. Maintain organized and complete project and construction files per established standards. Monitor and manage project/construction mailboxes, SharePoint Sites, One Note, or equivalent. Ensure project construction communication protocol is followed. Prepare and proofread project documentation, including scopes of work, Contract Work Orders, Work order requests, Request for Proposal documents, procurement checklists, recommendation memos, DocuSign Documents, turnover packages, memoranda, and reports. Assist with invoicing discrepancies and work order task funding. Create and duplicate work orders and tasks in TEC (CMMS), including inputting estimates and materials costs. Develop and submit SAP Purchase Requisitions on material request forms. Manage team daily agendas, submit weekly weekend duty worklists, and manpower reports. Maintain workman outage and non-outage backlogs. Maintain various tracking logs for safety, RFIs, Scope Change authorizations, warranties, claims, cut-off dates, and outage readiness checklists for all contracted work. Order rental equipment and track returns. Support the development of planning reports and tools such as KPIs, resource-loaded schedules, backlog, historical reports, and other identified reports. Hold primary responsibility for data gathering and issuing weekly reports. Report development and distribution will include Data Warehouse reports, SAP, and Excel.
