Brickell Key, Miami, FL Job Type:
Part-time, Mondays mornings in the office, rest of the time flexible. Estimated at 25-35% of a full-time workload.
Responsibilities:
OFFICE MANAGER
Deposit checks Manage mail and miscellaneous paperwork (e.g. tax filings, replies, etc.) Manage janitorial at office. Run weekly payroll for janitorial staff. Maintain inventory at the office (e.g. coffee, cleaning supplies, etc.) Property management of the office (e.g. schedule air conditioning maintenance, etc.) Other miscellaneous tasks as assigned. The goal for this is to keep the office fully managed without CEO having to remember to give instructions.
HUMAN RESOURCES
Recruit people to fit job descriptions (not just posting and waiting for people to apply, but being creative about finding the right people) Pre-screen candidates for interviews and schedule next round interviews Create a positive employee screening and onboarding process including pre-screen, personalized skills assessments, personality assessments, background checks, etc. Draft and manage employment agreements, full-time, part-time, independent contractors. Manage employee equipment purchases and requests (e.g. new computers, monitors, etc.) Set up employee software accounts for new team members and create organized process, new team member checklist, etc. The goal for this is to develop and own these human resources processes as you see fit. CEO will not provide specific instructions other than reviewing and approving contract language on employment agreements.
SALES SUPPORT
Send follow-up notes and gifts in the mail after sales meetings and important client meetings. The goal for this is to own the follow-up gifting process by reviewing meetings that recently took place and proactively suggesting appropriate follow-up gifts, pre-addressing letters to be written by hand, etc.
SPECIAL PROJECT-EVENT PLANNING
Independently plan: golf outings (1-2 per quarter, increase frequency if successful) client lunches/dinners (1-2 per quarter, increase frequency if successful) Sponsored fundraisers (1-2 per year) The goal for this is to own the entire event planning so that CEO can simply walk-in to a fully planned event without any involvement in the prior planning or logistical details. You can be resourceful in asking other team members for suggestions on who to invite in each region, etc., based on the goal CEO gives you.
SPECIAL PROJECT-PUBLIC RELATIONS
Book CEO as a featured guest for: Hospitality industry podcasts Hospitality industry conferences as a panelist Interviews in hospitality industry publications The goal for this is to own the entire process so that CEO can simply show up to a scheduled interview without being involved in the process to get the interview booked. SPECIAL PROJECT-“FIND THE WHO” Creatively find vendors or partners who specialize in areas where we need help: E.g., find an AI vendor who can build us a customer service chatbot, find a consultant/friendly competitor who can advise us about entering the cruise industry, find a solution for employee pre-screening such as Predictive Index, etc. The goal for this is to take the idea or goal CEO gives you and be creative about finding “who” (a person, vendor, employee, partner, etc.) who is qualified to accomplish the goal for us.
