JOB SUMMARY

The Traveling Project Manager (PM) manages projects and household staff . This position ensures the desired result is achieved, the most efficient resources are used and the different interests involved are satisfied. The primary aspect of the position is to assist in developing and managing the families’ complicated lifestyles while delivering concierge-level service.

ESSENTIAL DUTIES

Plans, coordinates, implements and finalizes projects. Understands the scope of each project. Maintains specifications and deadlines. Maintains budget restrictions. Communicates to appropriate Family member when over budget. Communicates and follows up with vendors and contractors. Accurately controls and organizes files for each project. Researches and anticipates where issues may arise. Manages multiple projects simultaneously. Manages multiple priorities and meet tight deadlines without compromising quality. Provides accurate and timely retrieval of filed information as required. Establishes work procedures and standards to improve efficiency and effectiveness of assigned operations. Evaluate progress of any assigned project. Report progress to appropriate Family member Respond to the Family’s concerns Coordinates with suppliers and vendors to ensure construction teams have the materials they need. Communicates with site superintendents about delays and any other issues that must be communicated principals Maintains an open line of communication with the on-site project managers so they can alert you to potential snags and problems. Maintains up-to-date contact information for project team members. Confirms reliable means of communicating at all times with project team members. Develops strong relationships and ensures close collaboration and communication with owners, decision makers, influencers, architects, engineers, code and enforcement officials, and other external customers critical to a project’s success. Creates and maintains positive relationships with subcontractors and vendors. Assists in communicating accurate project schedule information (including dates) to subcontractors/suppliers and all trades. Monitors and maintains the procurement schedule: Proactively identifies and resolves problems. Tracks status of the schedule on a weekly basis. Makes updates and adjustments timely and accurately. As required by the contract documents, ensures that comprehensive punch lists are: Created Communicated Completed Asset Purchases and Management for households; furniture, artwork and collectibles: Facilitate purchases. Organize shipping. Coordinate customs broker for shipping overseas purchases. Insurance requirements Household installation Storage Assists in management of household maintenance. Manages and creates property and domestic staff daily checklists. Assists HR in documenting staff training/orientation. Research any requested items the Matriarch requests you to lookup Collect vendors Certificate of Insurance information and make sure it matches our insurance requirements. Required to be on-site for supervision and installation of projects, whether a renovation project or installation of any items When not supervising will be required to work from one of several properties

Expert in Microsoft Office Suite Proficient in Project Management software Adaptable to the standards and desires of the Matriarch Easily adapts to change. Excellent communication skills – verbal, written, listening. Superior interpersonal skills Represents the company in a courteous, professional and diplomatic manner. Maintains the highest level of confidentiality and discretion always. The ability to travel to various properties as needed.

EDUCATION / EXPERIENCE

Bachelor’s degree or equivalent in experience Certification in Project Management a plus

COMPENSATION

Target salary $100,000 – $120,000, dependent on experience Competitive benefits package including bonus, medical / dental / vision insurance contribution, 401K contribution, paid time off / holidays / sick time, toll reimbursement, and fitness reimbursement.
