We are seeking a motivated and detail-oriented Project Controls and Financial Oversight Coordinator to support our Program Management Team on location in the Town of Eatonville, Florida. This key role will support program leadership, finance, and engineering teams in organizing, tracking, and communicating the progress and fiscal status of capital infrastructure initiatives. The selected candidate will be embedded in day-to-day operations, ensuring timely documentation, financial transparency, and seamless coordination among all parties. This role requires excellent communication skills, strong attention to detail, and an affinity for data-driven organization. Key Responsibilities Project Controls & Documentation
Generate monthly project status and financial reports for program leadership and Town administrators.
Maintain and organize all program documentation; contracts, invoices, reports, correspondence, and meeting records.
Draft and edit memos, reports, official correspondence, and internal updates for project teams and Town officials.
Maintain and update project tracking systems to reflect key milestones, deliverables, and timelines.
Coordinate with contractors, engineers, and consultants to compile supporting documentation for reviews and audits. Financial Oversight
Assist in tracking project budgets, funding allocations, and grant disbursements, including SRF and
CDBG-MIT
sources.
Support invoice processing, expenditure reconciliation, and compliance documentation in coordination with the finance team.
Monitor drawdown schedules, disbursement request packages, and grant milestones to ensure timely funding flow and accountability.
Assist in the preparation of backup documentation for SRF Disbursement Requests and maintain auditable financial records.
Coordination & Stakeholder Support
Work closely with the Program Manager, Town of Eatonville Public Works Director, and Finance Director to ensure timely project reporting and coordination.
Schedule and support internal team meetings and workshops; prepare agendas, take meeting notes, and follow up on action items.
Support reporting to local, state, and federal agencies and maintain clear communication with project stakeholders. Minimum Requirements
Bachelor’s degree in Public Administration, Business, Finance, Engineering, Technology, Project Management, or a related field.
At least 3 years of experience in project administration, document control, or financial oversight.
Proficiency in Microsoft Office Suite (especially Excel and Word); familiarity with project tracking software.
Strong writing, organizational, and communication skills.
Ability to work independently while managing multiple priorities in a fast-paced, collaborative environment. Preferred Qualifications
Experience supporting infrastructure or public works programs funded by state or federal grants.
Familiarity with Florida municipal or state-level reporting processes (e.g., SRF, EPA, CDBG).Experience in construction, engineering, or program management environments.
Certifications such as PMP, CAPM, or CGFM are a plus.
