SUMMARY:
The Project Coordinator is responsible for supporting project management efforts to ensure the successful planning, execution, and completion of restoration and reconstruction projects. This role involves coordinating resources, tracking project progress, managing documentation, and maintaining communication between clients, field teams, and internal departments. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple projects simultaneously in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Documentation and Record-Keeping Maintain and organize project files, ensuring all documentation (contracts, permits, RFIs, change orders, etc.) is accurate, complete, and easily accessible. Track and monitor submittals, RFIs, and change orders to ensure timely responses and compliance with project requirements. Ensure all documentation is properly uploaded, tracked, and managed within the company’s proprietary construction management application. Compliance and Standard Operating Procedures (SOPs) Ensure all project activities align with established SOPs, industry standards, and company policies. Support internal and external audits by providing necessary documentation and records. Project Support Assist with scheduling and coordination of project timelines, including meetings, site visits, and resource allocation. Track project estimates, deadlines, and key deliverables, ensuring adherence to schedules and milestones. Draft and distribute project updates, reports, and meeting minutes to stakeholders. Vendor and Financial Coordination Assist with vendor communications, including coordination of materials and equipment. Support invoicing processes by verifying invoices against work completed and coordinating approvals with the Project Director and Project Cost Accountant. Administrative Support Prepare presentations, spreadsheets, and reports to support the project team and leadership. Collaborate with cross-functional teams to ensure seamless communication and project progression. Communication and Coordination Schedule and coordinate meetings, ensuring all relevant stakeholders are informed and prepared. Act as a liaison between project teams, vendors, and clients, providing clear and consistent communication throughout the project lifecycle. Application and System Utilization Ensure accurate tracking and updating of all project documentation, estimates, deadlines, and milestones within the company’s proprietary construction management system. Provide support to team members on using the system effectively for project management and documentation.
QUALIFICATIONS

EXPERIENCE

LANGUAGE SKILLS
Ability to read and comprehend complex instructions, correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
REASONING ABILITY
