Pay range based on experience. We are seeking a detail-oriented and proactive Project Coordinator to join our dynamic team. The ideal candidate will play a crucial role in supporting project management activities, ensuring that projects are executed efficiently and effectively. This position requires strong organizational skills, the ability to multitask, and a solid understanding of construction management processes. Responsibilities Include but are not limited to: Coordinate, track and obtain required permits for repaint/restoration projects Create and maintain spreadsheets for tracking of information Complete necessary AIA Docs, Pay Apps and change orders Assist in the planning and execution of project timelines, ensuring all tasks are completed on schedule. Coordinate project resources, including personnel, materials, and equipment. Maintain comprehensive project documentation, including contracts and reports. Collaborate with team members to resolve issues and ensure effective communication across all departments. Collaborates with architects, engineers, electricians, and other specialists. Tracks testing and inspection logs, quality assurance reports, and punch lists Order and track delivery of necessary materials & equipment for jobs Confer with subcontractors, field personnel, vendors, or customers to coordinate material/equipment deliveries and to resolve issues and/or eliminate delays. Communicates with clients and delivers project progress reports. Communicate with customer/homeowner regarding scheduling, status and field issues. Maintain files, such as customer contacts, cost estimates, bills of lading, project files, and close out procedures/documents. Create department correspondence, reports and documentation as required. Communicate with construction field supervision personnel Communicate with company sales personnel Obtain, print, organize and file job documentation Makes sure projects are aligned with customer plans and time-line. Prepare and distribute project-related communications. Support the project manager in monitoring compliance with contractual obligations. Perform other duties as needed or required

REQUIREMENTS

Possess prior experience with permitting, A1A contract documents, pay apps and change orders with a strong initiative, willingness to learn, reliability and trustworthiness and the ability to follow directions and creative problem solving. Prior construction industry experience is desired and will be given special consideration. Computer literacy with the ability to work in a variety of different computer programs/systems, to include Microsoft Word, Excel and Outlook as well as QuickBooks Attention to detail and precision with respect to spelling, grammar, math-checking, and formatting of documents as directed is essential. Strong organizational skills Ability to multi-task and work well under pressure is a must Ability to work with minimal direction and supervision is required Being a Team player with a strong work ethic is a must. Excellent interpersonal and customer service skills are required. Organized, detailed, and proficient with verbal and written communication Bi-Lingual (English/Spanish) preferred but not required Proven experience in project coordination or management within the construction industry. Proficiency in construction management software Strong understanding of contract management principles. Excellent organizational skills with a keen attention to detail. Ability to work collaboratively in a team environment while managing multiple priorities. Strong verbal and written communication skills to effectively convey information to stakeholders. Problem-solving mindset with the ability to adapt to changing project requirements.
