Job Description
Key Responsibilities Keep track of attendance records, monitor lateness/absence/manual miss punches, etc Perform general office duties inclusive of, but not limited to filing, answering telephone(s), mail distribution, and composing correspondence Update shifts times/altering expected times prior to shift commencements to reduce missed punches Ensure exception reports are completed when required and filled out completely including signatures from the employee and department manager Ensure weekly OT report is received, completed and signed by manager Coordinate with payroll department for any missing forms Compare data entry with source documents in verification format to detect errors and correct as needed Enter fuel tickets into the application(s) daily to maintain established deadlines Input inventories, receipts and transfers daily Perform analysis of (loss/again) in the system daily Responsible for reconciling daily book inventories by individual supplier Validates monthly closing reports to ensure that monthly summaries add up to daily totals Maintain all base fueling billing through Accounts Payable Monitor station supply levels and order as necessary Validates monthly closing reports to ensure that monthly summaries add up to daily totals Organize, arrange, and enter document data in accordance with established procedures Build and maintain employee files per Menzies policies and procedures Any and all other task as requested by department managers or the General Manager Safety, Security and Compliance All employees have a responsibility and duty whilst at work to: Take reasonable care for the health and safety of themselves and of others who may be affected by their actions or omissions whilst at work. Carry out work in accordance with information and training provided and any specific workplace health and safety rules or procedures. Fully understand the company health and safety policy. Attend training courses as may be arranged by the Company. Qualifications Bachelor’s degree preferred. High school diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience. Knowledge of Krons and UltiPro software Proficient in Microsoft Office programs to include Word, Excel, PowerPoint Proficient typing skills with a minimum 35 wpm Excellent leadership and people management skills Strong communication and interpersonal skills balanced with a high level of confidence to influence and present at all levels Interpersonal skills: Independence, decisiveness and the ability to work accurately and independent of immediate support Able to influence, engage and motivate at all levels Flexible, determined to succeed and self-motivated All applicants must hold requisite employment authority to work in the USA Must be at least 18 years of age Must pass pre-employment drug screen Possess and maintain current valid Florida driver’s license Ability to proficiently read, write and speak English Able to remain calm under pressure Must pass FBI background check and obtain US Customs seal Must be available and flexible to work variable shifts including weekends and holidays Knowledge, Skills and Abilities Ability to learn quickly Ability to understand and carry out oral and written instructions and request clarification when needed Strong interpersonal skills Ability to work as part of a team Ability to build relationships High School or better.
