Overall Responsibility:

The Project Coordinator will play a crucial role in the planning, implementation, and monitoring of various projects aimed at improving the lives of communities. Will work closely with project manager, in-country partners, and other stakeholders to ensure projects are completed on time, within scope, and budget. Performs various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. This position requires strong organizational, communication, and problem-solving skills, for the involvement in the day-to-day operations of their assigned projects.

Duties:
  • Assist Project Managers in preparing, coordinating, and reviewing project proposals, budgets, media documents, and other requirements. Visit
  • Aid in compiling status updates, vetting project media, and ensuring documentation is accurate and consistent with project proposals and previous updates.
  • Ensure compliance with local, international, and organizational regulations, standards, and best practices in international development throughout all project activities.
  • Facilitate the resolution of project issues with In-Country Partners, Fulfillment & Quality Assurance, Sustainable Livelihoods, and other departments.
  • Break projects into doable actions and set timeframes upon the approval of the Project Manager.
  • Ensure all project documents are appropriately filed and correspondence is properly managed according to department protocols.
  • Support accounting functions including detailed reviews and preparation of disbursement requisitions, and budget/draw schedule reconciliation.
  • Assist in the preparation, submission, and tracking of purchasing requisitions.
  • Schedule and assist in meetings, prepare presentations, document meeting minutes and action plans, and disseminate information as required.
  • Act as the point of contact and communicate project status to all participants. Provide leadership and guidance using communication tools like Microsoft Teams and Microsoft Office Suite to meet deadlines and objectives.
  • Respond to information requests on behalf of Project Managers.
  • Provide recommendations on task assignments and schedule management to meet departmental and organizational deadlines.
  • Assist Project Managers with itinerary development and other trip preparations for partners, donors, or staff.
  • Assist in the preparation of project reports. Use tools to monitor working hours, plans, and expenditures. Create and maintain comprehensive project documentation, plans, and reports.
  • Liaise with partners and teams to identify and define requirements, scope, and objectives of other job-related duties.
  • Provide administrative support as directed by Senior Project Managers, Project Managers, or the Director of Projects.
Requirement:

Valid passport with the necessary travel visa. This position requires to reside in San Pedro Sula.

Qualifications Education and Experience:
  • Bachelor’s Degree (master’s preferred) in either Industrial Engineering, International Relations, Development Studies, Project Management, Business Administration, or a related discipline.
  • Minimum 2 years of hands-on experience coordinating relief/development projects with familiarity with sustainable development, including entry-level roles in monitoring and evaluation.
  • Bilingual proficiency in English and Spanish (verbal/written)
  • Willingness and ability to travel to remote and challenging locations within the country (up to 50% of the time)
  • Considerable understanding of at least some of the following technical areas: community development, agriculture, health, education, economic empowerment, child sponsorship, food security, and WASH (water, sanitation, and hygiene).
  • Strong critical thinking skills with a proven record of resolving project-related challenges and the ability to adapt to changing circumstances.
Skills:
  • Knowledge of electronic file management, transcription, translation, and other administrative procedures.
  • Ability to communicate professionally through effective verbal and written skills.
  • Ability to manage time efficiently and effectively.
  • Ability to work as part of a team and independently with minimal supervision.
